Job Description

Role Description:

To provide centralized support to Christie’s clients and to the assigned department through coordination with a wide range of departments within the business. Duties are varied, and will follow the cycle of the events schedule for the assigned department.

JOB FUNCTIONS (Duties include but are not limited to the following):
  • Receive all incoming phone calls for the department, answering basic questions regarding the business in a polite and professional telephone manner.
  • Provide departmental administrative support including but not limited to faxing, filing, and overall department organization and tidiness, office supplies and incoming mail distribution.
  • Compose and edit correspondence, reports, memoranda and other materials.
  • Manage client accounts by following up on related documentation.
  • Maintain client files using various internal computer systems and the department filing system.
  • Work closely with internal / external parties, such as vendors, supporting departments, specialists and counterparts in overseas offices.
  • Manage all VIP logistics and communication, including travel, accommodation, and study materials.
  • Track expenses to ensure department spending is in accordance to budget
  • Plan all relevant logistics, including sourcing venue, set-up and other logistics.
  • Execute market and press campaign for the department.
  • Schedule appointments and meetings, liaising with clients and specialists.
  • Manage post-event process, including payment and feedback.
  • Greet/visit clients on-site and off-site to support appraisal, consignment and sale efforts.
  • Compile and report statistics to Senior Management.
  • Other duties as assigned by Manager.

JOB REQUIREMENTS:

  • Degree in Business or Art History is preferred
  • A minimum of 3 years solid working experience in administrative / secretarial / sales support function
  • Proficient in MS office including Chinese Word Processing
  • Superior client service skills.
  • Self-motivated and high attention to detail
  • Able to manage time effectively and remain calm in stressful situations and tight deadlines, as well as with international colleagues in different time zones
  • Excellent communication and interpersonal skills, including superior written and spoken communication.
  • Proficient in written and spoken English and Mandarin.
