Job Description
We are a Boutique Creative Agency located in Quarry Bay with a focus on creating bespoke events for luxury clients. We are looking for an Office Manager to oversee office administration.
REQUIREMENTS:
- Degree holder in any disciplines
- Minimum 3 years experience in secretarial and administration support to Management
- Detail orientated, presentable and able to work under pressure proactively and independently
- Proficient in Microsoft Work and Excel
- Management experience
- Excellent organizational and communication skills
- Strong written and spoke English and Cantonese (Mandarin a plus)
- Team Player
- Experience in the Creative Industry a plus
RESPONSIBILITIES:
Office
- Provide office administrative support
- Making sure computers, equipment, programmes is up to date
- Liaise with Landlord, Contractors, Suppliers, IT company and cleaner for office or technical issues
- Handle HR duties including payroll, annual leave, sick leave, employment contracts, recruitment, disciplinary
- Coordination of travel plans (flights/hotel booking/Visa etc)
Personal Assistant
- Provide full range of personal assistance and secretarial support to the CEO
- Other ad-hoc tasks/projects whenever necessary
Accounting
- Handle payments, procedures and paperwork for accounts payable and accounts receivable, contracts, event agreements, quotations
- Reconcile Supplier/Contractor invoices with profit and lost table
- Update account status forecast (incoming and outgoings)
- Organise paperwork for Accountants to reconcile
