Job Description:

1. Provide full range of secretarial and administrative support to the Senior Management of the Foundation. This includes, but not limited to, calendar management, preparations of meeting agenda and presentations, minutes writing; internal and external correspondence handling, daily clerical support, file keeping etc.
2. Be a core contact person between Management/Council Committee members and Senior Management on day-to-day matters such as meeting arrangement, secretarial support etc.
3. Assist the Senior Management in ensuring effective communications with key stakeholders including funding institutions, donors, key media contacts, government offices, partners, vendors etc.
4. Work across functions to support department heads in their communication with the Senior Management and their needs of support.
5. Provide event and administrative support to PR & Communications team and HR & Administration team when assistance is required at time of special projects or events.

Requirements:

• Must have at least 5 years of relevant work experience supporting Senior Management.
• Mature personality, highly organized, strong sense of confidentiality and responsibility, excellent interpersonal skills.
• Proficient in Microsoft Outlook (especially calendar management), Word, Excel, and Powerpoint.
• Formal secretarial training is required; college degree holder is preferred.
• Excellent command of spoken and written English & Chinese. Putonghua is advantageous.
