Job Description

In addition to office administration support, this position take the responsibilities of facilities procurement, maintenance & repairing and fixed assets management in our Wan Chai Caltex office to ensure a healthy and safe working environment in compliance with Hong Kong Occupational Health and Safety Ordinances and Company Health & Safety policy; 

Responsibilities & Specific Accountabilities include:

Facility Management and Maintenance

  • Ensure all service agreements are renewed in time and in compliance with company policy of GNFR vendor assessment and management
  • Manage the service providers and building management office in providing facilities maintenance and repairing service in a timely manner
  • Ensure all above related documents / logs are filed and recorded systematically in a timely manner in compliance with company information management policy

Office Health & Safety 

  • In charge of office health and safety with carrying out regular office inspection with improvement action plan to ensure the compliance of HK Occupational Health and Safety Ordinances and company policy
  • Make sure all passage and store room usage comply with Fire Regulation of HKSAR Government

Office Support and Supplies Arrangement

  • Ensure the office consumables for pantry and stationery are purchased with sufficiency and minimum inventory for cost saving
  • Provide full spectrum reception service including but not limited to greeting visitors, answering doors, mail and parcel distribution, handling incoming calls and faxes and transferring callers, visitor log management, meeting room booking coordination, and office security
  • Provide guidance to the temporary worker and cleaning service provider to ensure the tidiness of the office environment

Sourcing Related Work

  • Manage the sample in and out process with compliance to SOP/Policy
  • Manage the usage of store room and maintain the tidiness. Ensure a healthy and safe working environment
  • Support buying trips when required including ad hoc helper arrangement and coordination, fixture movement coordination, working lunch coordination, etc

Travel Booking

  • Arrange business trip travel booking including but not limited to air tickets, accommodations, visas for staff and visitors (mainly for teams related to US buying business)
  • Back up line manager in arranging business trip travel booking for wider teams, if needed


Key Position Requirements:

  • At least 3 year working experience in office administration, preferable in sizable company
  • Solid knowledge of Facility management and Health & Safety Ordinances
  • High capability of planning and organizing with high awareness of priority, emergency under multi task working environment
  • Strong negotiation skill and vendor management skill
  • Good verbal and written English, and fluent verbal Mandarin
  • Proficient in MS office and basic analysis skill for data analysis, i.e. pivot table, V-look up, etc
  • High capability of planning and organizing with high awareness of priority, emergency under multi task working environment
  • Good interpersonal and communication skills
  • Proactive, responsible and reliable with independence
  • Self-motivated with can-do attitude and customer service spirit
