Job Description

Job Duties :

  • Manage and maintain the full spectrum of office related administration services and ensure smooth running of the office, including but not limited to: HR, office agenda management; organize and support financial administration; corresponding formally with business partners, contractors and Tenants; support marketing and leasing activities; and other administrative or support functions required.
  • Provide professional secretarial support to Director, managing schedules, incl. appointments, meetings, visits and travels, make sure that all necessary documentation is in place
  • Coordinate and follow up the progress of projects, proposals and approvals and provide administrative support to the different departments of the office, i.e. Administrative Department, Leasing Department, Property Management Department, HR and Accounting Department.
  • Manage and assist in all projects assigned with professional manner & judgment; handle details of highly confidential matters properly
  • Make sure all actions and activities are properly documented in the appropriate systems or files, followed up and saved.
  • Ensure rent and other utility bills are settled on time
  • Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner
  • Other ad hoc tasks/corporate functions as designated by the Director
  • Prepare company budgets to monitor and control expenses
  • Handling primary recruiting activities, candidate sourcing and executive search 
  • Daily HR operation including but not limited to compensation & benefit, performance management and employee relations
  • Formulate and review HR and administrative policies and guidelines to fit with company requirements
  • Handle office management, facilities management and fixed assets management including to chase replies, quotations, required information, feedback, agreements and various matters and documentation towards the target dates
  • Draft and prepare various business proposal
  • Take minutes for all management meetings
  • Draft and prepare memorandum, minutes, policies and procedures, summaries and reports
  • Verify business figures, ensure compliance of company policies and procedures

Requirements:

  • Degree holder
  • Over 5 years' relevant all-round administration experiences include but not limited to serve senior executives and manage office administrative and HR works. Candidate with 1 to 2 years working experience in property management / real estate business preferred but not essential
  • Good negotiation and interpersonal skills
  • Able to communicate with all walks of people and handle difficult people.
  • Independent with good common sense and initiative.
  • Honest, Polite, patient and discreet
  • Mature, Tough character, hardworking, willing to learn and strong team spirit
