Job Description

Main Job Tasks and Responsibilities

  • Prepare and edit correspondence, communications, presentations and other documents
  • File and retrieve documents and reference materials
  • Conduct research, collect and analyze data to prepare reports and documents
  • Manage and maintain executives' schedules, appointments and travel arrangements
  • Arrange and co-ordinate meetings and events
  • Record, transcribe and distribute minutes of meetings
  • Monitor, screen, respond to and distribute incoming communications
  • Receive and interact with incoming visitors
  • Liaise with internal staff at all levels
  • Office Admins related work
    • Provide logistic and administration support to company visitors such as hotel reservation, transportation arrangement, working meal arrangement.
    • VISA application, welcome letter, invitation letter and etc.
    • Foreigners related work supporting, including Visa application, Work permission, Residence permits, Driving licenses, etc.
    • Office Goods order and maintenance such as stationery order, drinking water order, payment application, etc.
    • Courier service arrangement.
  • Support Customer Service team where necessary
  • Co-ordinate project-based work
  • Other tasks assigned


Education and Experience

  • 3 years experiences providing support at a high level
  • Proficient computer skills and in-depth knowledge of relevant software such as MS Office Suite
  • Knowledge of standard office administrative practices and procedures
  • Bachelor degree and fluent in English
