Job Description

Roles and Responsibilities

a)  Provide executive support to Chief HR Officer, two Vice Presidents, and the Regional Team in Hong Kong office.

b)  Support to Chief HR Officer as HR Analyst:

  • Coordinate/manage the HR related meetings, including leadership meetings. Discuss agenda, draft the meeting schedule and distribute the pre-reads & other related materials to all. Team communications of emails, follow up status of action items
  • Support to generate PowerPoint Presentation
  • Coordinate and draft up the monthly HR function update to Global Leadership Team
  • Administrate the HR SharePoint info for the management team
  • Coordinate the HR content collection for the HR section of the intranet
  • Consolidate HR reports/matrix for reporting purpose (monthly to quarterly)
  • HR budget coordination & status tracking
  • HR project dashboard summary, status tracking, other tasks per business needs

c)   HR Project work per business needs

d)  Training, event & communication coordination

  • HR team activities, Training, Logistics meetings in HK
  • Interface with other administration support in HAVI for such event coordination. For example, Russ’s visit and interaction with Emerging Leaders in Asia, etc
  • Assist & facilitate Company Events if needed (RMHC Golf Tournament, Raffle Ticket, Gala Dinner and other activities)
  • Overall communications interface for HK regional teams, act as the local communications coordinator for required support for Communications as cascaded VP, Communications. Coordinate with internal & external parties to manage Communication and Documentation flows (like Regional Legal Documentation Execution for Finance team)

e)     Travel support

  • Logistics arrangement for business trip of the team
  • Visit arrangement/contact for incoming visitors
  • Travel support for President and other Global Leadership team members

f)   Office Management

  • Provide office management and administration support to the Hong Kong office to maintain office efficiency

 Requirements

  • At least 8 years of relevant experience in HR and Administration and experience to support Senior Executive
  • Bachelor Degree in Human Resources or Business Administration or related discipline
  • Strong communication skill
  • Highly organized with the ability to prioritize, strong sense of responsibility, mature and with excellent interpersonal skills
  • Self-motivated, detail-minded, stable and dependable
  • Keeps confidential information as appropriate
  • Language: Cantonese, English and Mandarin
