Job Description

Responsibilities:

  1. Executive and administrative support to VPHR
  • Act as the point of contact between the VPHR and internal/external clients and gatekeeper, including calls screening
  • Handle confidential and proprietary information with discrete manner
  • Prioritize tasks on hand and manage VPHR’s calendar in an efficient manner
  • Write memos/letters and prepare meeting agenda, materials, minutes, reports and PowerPoint presentation, etc.
  • Make travel and meeting schedule arrangement
  • Develop and carry out an efficient documentation and filling system
  • Expenses claims and other administrative work where necessary
  1. Executive and administrative supports to Directors
  • Act as the point of contact between Directors and internal/external clients and gatekeeper, including calls screening, where necessary
  • Handle and prioritise tasks on Director’s calendar, where necessary
  • Make travel and meeting schedule arrangement
  • Provide administrative assistance to the Directors including expenses claims
  1. Preparation and analysis of HR reports
  • Provide support to Directors on HR reports (eg. Organisation, Headcount, C&B reports, etc.) by consolidating and analysing information
  • Other reports where necessary
  1. Team administrative support
  • Arrange meeting and conference, prepare agenda, provide logistics support and act as point of contact for participants
  • Handle HR team calendar and ensure it is kept up to date with team’s leaves and out of office agenda
  • Make travel and guest arrangements for the team
  • Handle incoming and outgoing mails
  • Ad hoc projects when arises

 

 Requirements:

  • Bachelor Degree holder
  • Minimum 5 years of relevant experience
  • Prior experience in Human Resources Department and handling HR records
  • Proven record of handling sensitive and confidential information
  • Ability to compile data accurately and efficiently
  • Independent and proactive
  • Excellent interpersonal and organizational skills
  • Excellent command in written and verbal English and Chinese
  • Proficiency in Excel, Powerpoint, Words
