Job Description

The Executive Assistant will be coordinating administration activities for the top executives, including and not limited to, CEO and COO personal appointments.

Immediate Supervisor: CEO/COO



Examples of Job Responsibilities:

  • Handling correspondence and documentation.
  • Organize and update contacts
  • Scheduling appointments and coordinating appointments for top executives
  • Making travel arrangements for CEO/COO/executives and overseas  visitors
  • Event planning, Marketing & Sales related experience and Project management
  • Coordinate and follow up projects as assigned by CEO/COO

  • Perform a full range of office administration and secretarial duties – basically take ownership in all office administration responsibilities such as prepare meeting materials
  • Responsible for office administration duties like office expenses and petty cash management
  • Assist in company recruitment process i.e.arrange interview time slots and room booking
  • Liaise with China, Japan and other overseas offices and other office administration related issues
  • Perform other ad hoc duties/tasks as necessary

 

Requirements:

  • Excellent written and verbal communication skills in English, Japanese and Chinese (both Cantonese and Mandarin)
  • University Degree holder
  • Have strong organization skills
  • Enjoy working in a dynamic environment
  • Detail Oriented
  • Proficient in Microsoft Office Applications: Power Point, MS Word and Excel
  • Solid project management skill
  • Possess the ability to multi-task and juggle different projects.
  • Minimum 2-3 years related experience working with senior management
  • Willing to travel on business trips up to 40% of time.
  • A strong sense of responsibility, positive, flexible and can-do attitude
