Job Description

JOB SUMMARY
 

Based in Hong Kong Office to provide clerical and administrative support to the Department function to ensure seamless departmental operations and successful achievements of business goals and priorities.

  • Well versed in calendar management, trip planning and scheduling. Coordinate meeting invites, conference call invites and perform minute-taking.
  • Facilitate visa applications for business travels.
  • Perform administrative duties such as emails correspondence, business letters, memorandum, incoming and outgoing mails etc.
  • Compile expense report and presentations for management review.
  • Document and communicate requests and enquiries to appropriate personnel, and maintain confidentiality of information.
  • Develop and maintain a proper filing system. Keep full record of departmental related documents and maintain strict confidence.
  • Assist in preparing and developing internal communication emails, memos and presentations.
  • Effectively collaborate with people at all levels across functions in a diverse environment.
CANDIDATE PROFILE
 
Skills and Competencies
  • Excellent level of English & Mandarin/ Cantonese is essential (verbal and written).
  • Knowledge of Marriott International Key Brands and Strategies with a strong administrative background - able to work on their own initiative, ability to effectively communicate with guests, owners and co-workers.   Flexibility of role depends on business needs.
  • Strong Food & Beverage background
  • Strong customer development and relationship management skills.
  • Ability to design and implement successful tracking of documents and spreadsheets.
  • Knowledge of all Marriott Lodging products, cultures and brand strategies,
  • Ability to manage and balance own time.
  • Strong communication skills (verbal, listening, writing).
  • Strong organizational skills.
  • Proactive and reliable.
  • Ability to use standard software applications such as Word, Excel and PowerPoint.
  • Ability to assist in preparation of quality PowerPoint presentations.
  • Ability to develop and maintain relationships e.g. associates, customers, owners.
  • Able to use initiative and work under minimal supervision.
CORE WORK ACTIVITIES 
  • Supports all hotel brands.
  • Assists with the design and preparation of statistical reports as required.
  • Creates and maintains shared folders and team performance tracking documents.
  • Produces and distributes team correspondence, presentations and other related documents as required.
  • Assists VP Food & Beverage and team in preparation of various presentations/ reports/ updates.
  • Maintains diaries and schedules appointments and meeting for VP Food & Beverage and designated leaders within the Food & Beverage discipline.
  • Composes, produces and signs correspondence on routine matters – with specific permission, sign for manager and release.
  • Coordinates venue, agendas and minutes for various meetings.
  • Coordinates all travel and hotel accommodation arrangements.
  • Coordinates Team meetings.
  • Sets up conference calls.
  • Files and forward-traces a variety of documents.
  • Maintains office supplies for area.
  • Processes expense reports.
  • Takes meeting minutes as requested.
  • Tracks team vacation.
  • Maintains, collates and distributes all relevant activity reports.
  • Responds to various requests for help and information.

    Additional Responsibilities
  • Performs other related tasks as assigned by management.
  • Complies with Marriott International Hotels Limited Hong Kong Office policies and procedures.
  • Working hours as required to do your job but normally not less than 40 hours per week.
