Job Description

 

Function:

 

To provide administrative assistance and donor servicing and support to Heifer International - Hong Kong, to ensure daily operations are carried out efficiently and effectively; process donations and perform bank transactions, provide support in donor servicing, and support in HR and legal matters.

 

 

 

Responsibilities:

 

  • Execute donor care and servicing including but not limited to processing donations, issuing receipts, inputting data, handling enquiries, and keeping donor files.
  • Maintain and update donor database. Produce reports as needed.
  • Perform bank transactions such as deposit and fund transfer. Handle petty cash reimbursement and prepare monthly petty cash expense reconciliation.
  • Assist with invoice processing and cheque payment preparation.
  • Provide support to HR functions and legal matters as needed, such as organizing team meetings and annual staff event, and filing annual return.
  • Provide general administrative support in daily office operations, including ordering and maintaining supplies, coordinating arrangements for travel and meetings.
  • Provide general reception to office visitors and deal with telephone inquiries
  • Contact and work with volunteers who help with admin or donation processing.
  • Participate in Heifer HK events, presentations, and planning activities as needed.
  • Assist in other ad hoc duties as needed.

 

 

 

Job Requirements:

 

  • Bachelor Degree in any discipline with at least 2 years hands-on working experiences

  • Experience in non-profit organization is a plus

  • Must be well-organized, detailed-oriented and able to multitask

  • Good command of spoken and written English and Chinese (Cantonese and Mandarin)

  • Customer-oriented with good communication and interpersonal skills

  • Proficient in MS Office including Chinese word processing, Excel and PowerPoint

  • Able to work independently, autonomously, proactively and a good team player

  • Immediately available preferable
