Job Description

SUMMARY

Administrate receptionist duties and support admin & travel functions for Kids II Far East Limited. The Senior Admin & Travel Coordinator will report to HR and Admin Manager (HR Business Partner) in Hong Kong Office.

 

Interested in the day to day duties?

  • Perform receptionist duties at front desk including answering telephones in a courteous and helpful manner, taking down and recording messages and routing telephone calls to appropriate staff.
  • Be stationed at the receptionist desk to answer the door, greet visitors and guests in a courteous and helpful manner at all times.
  • Manage the overall appearance of the Reception Area including the Conference/Meeting/Show Rooms to ensure these areas are orderly, clean, presentable and free from clutter.
  • Manage the booking and use of Conference/Meeting/Show Rooms. 
  • Record and manage the availability and placement of Showroom samples to ensure the latest samples are properly displayed. Support sales administration team if needed. 
  • Prepare appropriate documentation and organize courier pick-up and deliveries as and when needed.       Ensure samples and packages are properly packaged to prevent them from being damaged. Coordinate the delivery of urgent letters, documents and packages to postal, courier or other drop-off points or offices as needed. 
  • Maintain a record of stationery supplies, create stationery replenishment requisitions and ensure such supplies are ordered and replenished in a timely manner upon approval.                                                                                                                            
  • Order, replenish, and store drinking water and other refreshments in the office.  
  • Assist other staff in the preparation, printing, photocopying, and scanning, faxing, collating, distribution and recording of ad-hoc reports, agendas, minutes, presentations, binders and meeting notes, etc. as needed. 
  • Provide general services to assist staff and visitors in making meeting appointments, maintaining schedules, making travel reservations and bookings, securing visas and tickets.  
  • Communicate closely with USA and China Office’s receptions and follow the standard procedures on all admin and reception duties. 
  • Provide creative idea in tacking cost saving projects and to improve the efficiency of reception operation.  
  • Support all travel and office administrative work at front desk.  Assist Sales administration, accounting, IT and other department for other additional duties.  
  • Any additional duties and responsibilities based on the needs and evolution of the company’s business, product portfolio, and market condition.

 

What’s your background?

  • Diploma or Degree holder preferably in Business Management or Hospitality Management
  • At least 3-5 years relevant working experience with MNC background, preferably in a professional service environment
  • Superior organizational skills, with a disciplined approach to all tasks assigned
  • Attention to detail-orientated, able to work independently and respond quickly to changing priorities
  • Team player and with passion in helping others when necessary to meet deadlines
