Benoy is looking for a Project Secretary to provide secretarial support to the project team & project directors.

Key Duties:

• Secretarial support to the project team, project leaders & Directors, including typing and editing letters, minutes, reports, contracts and other documents
• Document translation support (translation by translator, document consolidating & coordinating by Project Secretaries), including back up translating assistance when required
• Contract control and bidding proposal 
• Project travel arrangements with visa application when needed
• Making appointments, booking lunch/dinner venue and updating related diary
• Setting up Enquiry / Live project numbers with opening project folders and updating of records
• Updating resource/invoice sheets and related records
• Assist project team with filing, scanning of documents and uploading files into Central
• Prepare and update project contact lists and input client’s contact details on Central
• Prepare archive folders and records for projects
• Ensure studio is maintained in line with studio standards, liaising with other departments as necessary
• Backup other project secretaries and reception telephone answering service
• Cover leave at reception when necessary
• Ad hoc tasks as requested
