Job Description

JOB SUMMARY
 
A Full Time position based at the Hong Kong Continent Office. Provides support to Vice President, Premium & Select Brands. Performs other related tasks as assigned by management & team. Complies with the company policies and procedures.
 
CORE WORK ACTIVITIES
  • Manage the calendar for the Vice President including arranging meetings on-site and offsite, managing the logistics and ensuring successful execution of those meetings
  • Composes, produces and signs correspondence on routine matters – with specific permission, sign for manager and release.
  • Coordinates Team meetings.
  • Sets up conference calls.
  • Files and forward-traces a variety of documents.
  • Maintains office supplies for area.
  • Processes expense reports.
  • Takes meeting minutes as requested.
  • Tracks team vacation.
  • Assists Vice President, Premium & Select Brands and team in preparation of various presentations/ reports/ updates.
  • Develop and submit expense reports for the Vice President and Directors ensuring on-time submission and accuracy
  • Maintains, collates and distributes all relevant activity reports.
  • Responds to various requests for help and information.
  • Performs other related tasks as assigned by management.
  • Complies with the company policies and procedures.
  • Assists with the design and preparation of statistical reports as required.
  • Supports all MI hotel brands.
  • Acts as a central point of contact between the Hong Kong Continent Office and Regional/Area teams.
  • Works with the Brand & Marketing teams to develop key stakeholder presentations and reports for meetings that support the Communications efforts.
  • Creates and maintains shared folders and team performance tracking documents.
  • Produces and distributes team correspondence, presentations and other related documents as required.
  • Monitors and assists in maintaining Asia Pacific Premium & Select Brand and Marketing content, working with discipline teams.
  • Coordinates venue, agendas and minutes for various meetings.
  • Manage travel booking for the Vice President and Directors including visa applications/renewals
CANDIDATE PROFILE
Skills and Competencies
  • 2 - 3 years of admin experience
  • Excellent level of English & Mandarin/ Cantonese is essential (verbal and written).
  • Ability to design and implement successful tracking of documents and spreadsheets.
  • Ability to manage and balance own time.
  • Strong communication skills (verbal, listening, writing).
  • Strong organizational skills.
  • Ability to use standard software applications such as Word, Excel and PowerPoint.
  • Ability to assist in preparation of quality PowerPoint presentations.
  • Proactive and reliable.
  • Strong customer development and relationship management skills.
  • Knowledge of all Marriott Lodging products, cultures and brand strategies,
  • Ability to develop and maintain relationships e.g. associates, customers, owners.
  • Able to use initiative and work under minimal supervision.
  • Knowledge of Marriott International Key Brands and Strategies with a strong administrative background - able to work on their own initiative, ability to effectively communicate with guests, owners and co-workers.   Flexibility of role dependent on business needs.
