Job Description

This position requires an experienced and professional candidate who has well-honed skills in event management, logistics and operations in major cities and venues around Asia Pacific.  At least 5 years in region experience is required with excellent knowledge of all event processes from venue selection and contract negotiation right through to creative staging and style production onsite, efficient registration and culminating in a good delegate/speaker/sponsor onsite experience.

The successful candidate will be experienced in procurement of venues, av and all event equipment and supplies. Any applicant must necessarily be well versed with event technology (preferably with EventForce) and other digital apps (such as Sli.do) and all other aspects of live events, whether conferences, small exhibitions or awards. This role also demands experience in team management and team development.

Summary of Role

To lead the event logistics team efficiently and effectively to deliver an optimum shared services operations responsible for covering events of all types for all brands.  Providing the best service and results possible to the event/brand directors running the events.  Personal operation of events is also likely to required whilst overseeing the quality of operations run by the team.  Aim:  to deliver the best operational and logistics service to brand and event directors, and to improve delivery throughout and stay within budget restrictions via good procurement practices.

Responsibilities:

  • Staff Management of small team comprising senior event manager, event managers and events coordinators
  • Efficient planning of resources to ensure that the event schedule for all brands is efficiently delivered to expectations
  • Monitoring of processes to ensure maximum efficiency and excellence and creation of new processes if required to deliver best practice
  • Full responsibility for effective cost controls across all events
  • Budget management of each event -  the responsibility of the operations teams
  • Work with design to deliver optimum branding look within budget at events
  • Track information from events to use for future improvement and negotiations
  • Maintain good supplier relationships to achieve the best service at the optimum cost
  • Venue selection
  • Legal contract and best deal negotiations
  • Team development and training

 

Requirements

The successful candidate will be enthusiastic, skilled, and motivated by the desire to deliver the best event experience possible. Also:

  • Able to confidently engage with senior management both internally at Haymarket but also at venues under contract, and in the audience at events including speakers, delegates and sponsors
  • Articulate and well spoken with a high standard of written English
  • Self motivated and enthusiastic  
  • A team player but also able to lead and motivate ‘from the front’
  • Highly organized and able to demonstrate excellent time management
  • Willingness to learn, listen to alternative ideas, be flexible and adaptable
  • At least 5 years of experience of event management in Asia Pacific
  • Experienced venue and supplier negotiation skills
  • Excellent command of both spoken and written Chinese (Cantonese and Putonghua)
