Responsibilities:

• To manage and maintain the Executive Director’s (Native English Speaking) schedules, appointments and travel arrangements;
• To maintain and update the contact database of the Executive Director; and the master guest list of the Society;
• To arrange and coordinate meetings and events;
• To record, transcribe, distribute minutes of meetings and directing follow up action points;
• To answer and manage incoming calls;
• To receive and interact with incoming visitors;
• To prepare and edit correspondence, presentations and reports;
• To file and retrieve documents and reference materials;
• To conduct research, assemble and analyse data to prepare reports and documents;
• To assist in various projects of the Society;
• To assist the HR & administration team to provide daily administration services; and
• To perform any other tasks as assigned by the immediate supervisor and/or management from time to time. 

Requirements:

• Form 7 or above; with formal secretarial training will be an advantage;
• Excellent command of both written and spoken English and Chinese;
• Excellent inter-personal, communication and presentation skills;
• Proficiency of PC skills (MS Word, Excel, PowerPoint);
• Ability to work independently, proactively and a good team player;
• Required to work overtime and at irregular hours including full-day work on weekends and public holidays during certain periods.
