Job Description

Job Duties:

  • Report to Regional Manager and Associate Director
  • Responsible for the full spectrum of facilities management both strategic and operational including management of fitting out/ restack work, system maintenance, vendor management, health & safety, office administration procurement and management of clients’ facilities/ properties
  • Act as the first point of contact for the overall FM operations including relationship management with the landlords, vendors, Corporate Services/ project/facilities teams including emergency response (on a 24x7 basis), for all FM issues in the responsible city/ region
  • Provide projects and facilities administrative support to HK & overseas offices including maintenance services, environmental & sustainability issues
  • Responsible for general administration works, generate & develop series of facilities management.
  • To ensure the seamless delivery of FM services that support and align with core business functions of clients
  • With Hong Kong Headquarters Support to develop and maintain standard operating emergency procedures
  • Review and monitor FM performance in line with the client’s regional requirement
  • Plan and manage on site FM operation and or contractors’ teams among different locations and support personnel for whole account within responsible region
  • Work with the local clients’ FM Representative(s) to assure quality service delivery to the Client’s networks and occupants of properties
  • Develop an annual consolidated facility budget
  • Identify quality improvements in process or procedures
  • Manage reporting and status updates on the progress of the projects and facilities services in accurate and timely manner.
  • Work as part of regional Facilities Management team managing all aspects of the projects and facilities including, fitting out and restack
  • Liaise and manage several key stakeholders involved in facilities and operation program
  • Provide assistance to clients in the development of environmental sustainability through active monitoring, reporting and reviewing of environmental performance and management strategies
  • Provide Client interface and assistance on providing sustainable and energy efficiency information to client’s team
  • Responsible for project management of E&M and Builder works, including project objective formulation, Electrical/ Mechanical/ Building Services conceptual & detailed design, preparation of tender document, contract administration , testing & commissioning and project handover
  • Handle regular maintenance works of both E&M and builder’s works for our managed properties and portfolio
  • Work with the Project/ Facilities team to manage critical equipment at primary sites and other locations as directed including the monitoring of UPS/generator capacity
  • Respond to emergency situations (fire, evacuation, equipment failure, etc) and customer concerns
  • Work with Project/ Facilities team to develop budgets and prepare procurement documentation
  • Responsible for defects diagnose and prepare related reports, tender documents for improvement and/ or repair projects of both the E&M and builder’s works
  • Liaise and handle client’s requests on technical related services and supervise and monitor contractor’s site works
  • Responsible for planned and ad hoc maintenance works, inside and outside our managed properties of residential, industrial or commercial properties
  • Ensure all procedures, processes and client requirements are undertaken in a timely and efficient manner
  • Manage the inspection programme for the properties on energy conservation, maintenance practices, utility management and risk management procedures
  • Upkeep the drawings of various E&M system and good documentation practice
  • To obtain relevant LEED qualification, i.e. LEED Green Associates and Accredited Professional (LEED AP), and act as a LEED Certification leader to provide guidance/ direction/ support to the PM/ FM team for all LEED related issues and to communicate/ coordinate with all relevant parties (USGBC, LEED consultant if any, client’s team and etc) to achieve the required LEED Certification.


Requirements:

  • University graduate with engineering/facilities management discipline in mechanical/ electrical/ building services with 5-8 years’ experience in related discipline
  • Holder of REW A0 or above is preferable
  • Experience in MEP engineering design, project management and site coordination
  • Experience/knowledge in engineering drafting, good proficiency in AutoCAD 2-D drawings, 3-D would be a plus
  • Knowledge of Occupational Safety and LEED Certification requirements
  • Knowledge of Critical Engineering systems, HVAC, Fire Protection System, Electrical system and BMS system. Experience in CRAC and Chiller plant is preferable
  • Experience in data centers and disaster recovery sites will be an advantage
  • With confident client-facing individuals who are strongly focused on delivering high quality, maintainable solutions to demanding business users. You will be a self-starter, who is able to work with little guidance, must be able to work within a geographically-dispersed team.
  • Excellent communication and interpersonal skills with an ability to build rapport with team members and stakeholders.
  • Must be committed to quality and enjoy mentoring technical staff.
  • Working Experience in Asia Pacific region ideally across multiple countries will be definite advantage
  • Strong leadership, well-organized, multi-tasking and able to meet tight deadlines
  • Strong PC literacy and able to manage daily activities using various systems
  • Fluent in both Chinese and English (written/spoken) and ability to communicate in Mandarin
  • Responsible, able to work independently, Self-initiated, innovative, energetic, result-oriented, mature, able to work under pressure and under tight schedule
  • Less experience will be considered as Facilities Officer
