Job Description

The Administrative Assistant is the first link to members of the Canadian Chamber of Commerce in Hong Kong.  He or she communicates with a very diverse group of members and works at reception within a small business office.  The ideal candidate has membership communication along with strong interpersonal skills.

Responsibilities of the Position:

  • Performs reception duties in an efficient, professional and courteous manner.
  • Acts as customer service representative and facilitates and/or maintains effective communication with existing and new Chamber members and the general public.
  • Ensures smooth operation of equipment and inventory levels are adequate.
  • Researches, analyzes and evaluates vendors and recommends new vendor purchases.
  • Acting as the Executive Assistant to the President with duties such as maintaining the appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel, coordinating the reimbursement process, and managing contacts.
  • Provides administrative support for the Executive Committee, including meeting arrangements, preparing and distributing meeting materials, taking minutes, action item follow-up, etc.
  • To maximise work efficiency and effectiveness by being organized and integrating with the CRM.
  • Assist with other sections as required.
  • Assist with other Chamber-wide initiatives as required.

Requirements:

  • Entry-level work experience or community service
  • Native written and spoken English and Cantonese skills; Mandarin would be additional assets
  • Experience in a CRM system, blogging services, forums and social networks
  • Detail-oriented with an ability to work independently
  • Enthusiastic, connects with people easily
