Job Description

Responsibilities

As a Executive Secretary, you’ll need to:

  • Provide full spectrum secretarial, administrative, human resources and event management support to Senior Management and the company.
  • Support admin duties such as general office supplies and maintenance, logistics & organize exhibition and office event.
  • Diary Management – Plan, organize and manage calendar, coordinate of business meetings appointments, conference calls, travel itineraries and business events.
  • Identify, anticipate and prepare information, documents required by top management for meetings, events, company activities.
  • Arrange and facilitate all aspects of exhibitions & seminars, complex business travel and logistics (air tickets, hotel bookings, miles redemption, visa application, etc.) for Senior Management and personnel for the subsidiaries.
  • Work with Senior Management on documentations such as Non-Disclosure Agreement, Service Agreement, Confidentiality Agreement, Partnership Agreement and other Agreement as required.
  • Assist in formatting and preparing presentation materials for clients, tender document and proposal submission as required.
  • Develop and maintain the Human Resources Policies and Procedures Manual for Hong Kong office.
  • Research, prepare, draft job advertisement and arrange for postings with vendors. Follow up with prospective / potential candidates for logistics arrangements.
  • Maintain confidentiality and ensure discreet handling of sensitive business information.
  • Participate in any ad-hoc projects and tasks as assigned.

 

Personal Attributes and Qualification

  • Diploma or Degree in Business Administration or related discipline or formal secretarial training.
  • Minimum of 5 years’ solid secretarial / administrative experience in multi-national environment.
  • Proficiency with MS Office (Excel, Word) and Outlook.
  • Good command of spoken and written English and Chinese.
  • Good interpersonal and communication skills.
  • Excellent prioritisation, multi-tasking, time management.
  • Strong sense of responsibility and able to work independently.
  • Tact, discretion and respect of confidentiality.
  • Well-organized and team player.
  • Immediately available is highly preferred.
