Job Description

Position Summary: Under the direction of the General Manager, this position will be responsible for assisting in administrative activities and back office support for the dedicated Business Unit. This role will also be responsible for the purchase order creation and management. The job title for this position is Business Unit Administrator.


Essential Job Functions
:

(1) Assist in administrative activities and back office support:
• Keep track of customer orders and provide update to Key Account Managers.
• Contribute to the production and analysis of the monthly depletion data in support to the Business Analysts
• Keep up to date commercial agreements and trade terms database.
• Create & update Customer locations database.
• Partner with PRTR North Asia Business Unit team with all ad hoc projects.
• Consolidate & maintain trade & marketing calendars.

(2) Support PO management and tracking of A&P Budget:
• Create Purchase Orders as assigned by the Key Account Managers and Market Activation Managers.
• Review and process customer/vendor invoices in accordance to purchase orders once approved.
• Support A&P expenses monitoring and contribute to the A&P forecasting (Monthly A&P status with tracking up to date, status on invoice processing and accruals)
• Reconcile A&P promotional calendars.
• Contribute to the analysis of the monthly A&P budget by customer provided by the Business Analyst.

(3) Support implementation of tactical/promotional activities at the last three feet:
• Coordinate and support procurement logistics for all tactical/promotional activities (tactical packs, GWPs, VAPs…)
• Coordinate daily operational tasks related to new product launches (Listing forms, Logistics, etc.)

Qualifications/Requirements:
Education: Bachelor’s degree in Business Administration
Experience: 2 years of administrative experience, preferably in the industry. Self-motivated and self-directed individual with strong communication and interpersonal skills. Thorough and creative problem solving abilities, strong verbal and written skills. Must be able to manage multiple initiatives with strong analytical skills
Technical skills: Excel and PowerPoint knowledge. Intermediate knowledge of Microsoft Outlook and Word.
Languages: English and Mandarin required.  For North Asia BU, mandarin is mandatory.
