Job Description

POSITION GOALS

  • Provide operation and administrative support to CBRE Security Manager, Hong Kong in order to ensure effective and efficient operations and strategy development;
  • Assist Country Security Manager to provide "best in class" Security services, evolving them through an ethos of continuous improvement to keep in step with the Banks changing business needs;
  • Duties include operational security, financial and project based work. Project a professional company image through in-person and phone interaction.

DUTIES AND RESPONSIBILITIES

  • Assist Country Security Manager on implementing and executing Security services delivery in Hong Kong, including related operational duties and instructions in accordance to the Client's policies, standards and procedures, to allow for the business operations, systems and processes to proceed with minimal disruption;
  • Responsible for Security Control and Pass Office operations, access control systems and access re-certification on the absence of Country Security Manager;
  • Review vendor training programmes in relation to formulation, evaluation and implementation to ensure effective succession planning in place within Assignment pool;
  • Handle complaints, requests and enquiries relating to security delivery, including root cause analysis/report issuance as required;
  • Liaise with Country Security Manager to gain confirmation of compliance to Critical (CPI) and Key (KPI) Performance Indicators relating to Monthly Score card. In relation to At Risk Management fee service credits;
  • Responsible for planned and ad hoc offsite event security requirements, as requested and approved by Client;
  • Maintain internal and external business liaison communication lines, in order that relevant information is communicated in an effective and timely manner;
  • Oversee monthly security team roster preparation;
  • Manage Security vendors as per agreed firm's procurement/supply chain procedures and Client's vendor management program;
  • Ensure system and service outages/incidents are reported and resolved within agreed SLAs into agreed incident reporting systems;
  • Act as ambassador and lead by example regarding firm's Ethics Code of Conduct.

Administration

  • Provide administrative support to ensure that operations are maintained in an effective, up to date and accurate manner;
  • Lead collation of information, records and reports to enable effective running and continual improvement of operational delivery. Analysis of Security-related MIS, utilising to develop data-backed operational recommendations to present to Client;
  • Make appointments/reservations and other business related activities.?
  • Document translations;?
  • Under general supervision maintain assigned segments of various systems, databases and e-mail accounts;
  • Establish and maintain filing system for correspondence, contracts, vendors and administrative documents;
  • Prepare papers and documents for team meetings, and minutes taking;
  • Assist in office premises housekeeping, office space planning;
  • Monitor and coordinate records filing system(s) and be flexibly responsive to any ad hoc duties or other duties that may be assigned during your employment.

KEY COMPETENCIES

  • Secondary Graduate or above;
  • Security operational experience;
  • Ideally have knowledge of technical security systems;
  • Ideally have knowledge and understanding of risk and security concepts, including local legal and compliance understanding;
  • Candidates with experience of working in hotel/finance industry will have an added advantage;
  • Strong communication, organisational and interpersonal skills;
  • Able to work under pressure;
  • Fluency in written and spoken English. Command of spoken Cantonese and Mandarin an advantage;
  • Strong PC literacy and proven ability to manage daily activities using various systems
