Job Description

The Administrative Assistant, based in Hong Kong, will support the Product Development department in its daily operations. This is a new role which will be administrative orientated, but the successful candidate will be required to support managers in other areas of the team such as:

  • Schedule and organise complex activities such as meetings, travel, conferences and department activities for all members of the department
  • Establish, develop, maintain and update filing system for the department. Retrieve information from files when required.
  • Identify ways to improve existing and implement new department processes.
  • Responsible for uploads made by the department to the CRM system.
  • Take minutes of department meetings, write up and circulate. Prepare meeting agendas.
  • Assist with coordinating printing, signing and scanning of documents.
  • May be called upon to assist with special projects as required
  • Collating of data
  • Preparation of presentations
  • Perform other duties as assigned

Requirements:

The ideal candidate will have worked in a multi cultural environment, providing support in many areas of administration. This person must be friendly, confident and able to work in a fast-paced environment, whilst showing the ability to be pro-active. A recent university graduate will be considered at intern level if they can demonstrate their skills and experience.

  • Diploma or above in Office Administration, Secretarial Training or related field
  • 2-3 years working experience
  • Good time management and organisational skills, with the ability to manage details of multiple and complex projects
  • Strong problem solving skills & attention to details
  • Excellent communication skills to a variety of customers and vendors both oral and written
  • Fluent in English; Cantonese and Mandarin would be an advantage
  • Strong proficiency in Microsoft office, Excel, PowerPoint and Word.
