Job Description

Main Purpose of the Job

We are looking for an energetic and passionate Workplace Operations Manager with excellent communication and administrative skills, high level of motivation, enthusiasm and commitment to help set up and run our new Hong Kong premises. This is the largest Arcadis office in Asia supporting around 1,000 people.

You will play a key role and be an influencer in helping to create an environment which supports the desired Arcadis Hong Kong culture and strong social interaction across the business ultimately making the new office a great place to work!

 

More about the role…….

  • You will help the Hong Kong Leadership team bring together 4 separate offices possessing different heritage and historic cultures into one new integrated facility for the first time. You will need to work closely with Arcadis Leadership to create a common culture and a consistent approach to how the new office operates.
  • You will be required to have excellent people skills and be both capable and comfortable interacting at all levels from CEO to the most junior staff. You will play a key role in helping the Arcadis Country Head deliver operational aspects of what is a large integrated change management programme.
  • Prior to the move, you will work as part of the Move Project Team playing a key role in ensuring that the business is ready to move into the new premises. A track record in helping organisations with Operational Readiness and Transition in moving into new premises is key. You will be required to integrate/ develop/ refine and embed operational procedures relating to the workplace as necessary.
  • Post move, you will lead a small facilities and administrative support team consisting of facilities management, health & safety, reception management, post & printing. You will be expected to over-see and be involved in ad-hoc projects that may arise.
  • A hands-on approach is important. Under your leadership, you will be expected to lead this team to deliver exceptional service which results in the smooth running of our office on a day-to-day basis.
  • It is important that you are confident, customer focused, with the ability to take initiative and be pro-active. 
  • You will need to be a self-starter, be capable of working under your own initiative and be willing to make informed decisions. Ultimately you must be capable of quickly earning the trust of the Hong Kong Country Head. It is recognized that some aspects will be challenging so you must able to bring parties together to create consensus to deliver practical solutions to problems.
  • This is not just an administrative job. An expectation concerning excellent administrative skills are a given We require you to be highly visible, to build connections and relationships across the business. You will play a key role in setting the tone of the office and making Arcadis a great place to work.

  

 Person Specification / Qualification

  • Previous relevant office and facilities experience gained in an international company is essential.
  • Experienced in handling a wide range of administrative and executive support related tasks and able to work independently with little or no supervision.
  • Understands and can promote outstanding customer service.
  • Capable of achieving results through others.
  • An experienced and capable team manager with a track record of performance management and people development.
  • Can demonstrate outstanding organizational skills & the ability to drive the same in others.
  • Excellent interpersonal, communication, negotiation and relationship-building skills.
  • Excellent time management skills with the ability to multi-task.
  • Excellent problem solving skills with the ability to demonstrate initiative.
  • Leadership skills and the ability to ‘make things happen’
  • Reliability and discretion – role holder may learn of confidential matters.
  • Advanced proficiency with desktop applications (e.g. Microsoft Word, Excel, PowerPoint).
  • Can demonstrate excellent Finance knowledge & budgetary competence.
  • A reasonable understanding of statutory obligations, Health & Safety, landlord
  • Experience of managing agile working is preferred.
  • Educated to degree level.
  • Fluent in spoken and written Chinese and English.
  • Ability to demonstrate a deep understanding of Hong Kong culture.
