Job Description

 Senior Analyst, Lease Payable & Administration

 

Responsible for the fulfillment of Lease Administration. Manages the day to day functions including the operation and delivery of lease administration. Maintenance of CoStar system. Directs day to day activities and mentors the Lease Analyst acting as a resource and providing guidance as necessary. Provides senior level support and management of the lease administration process. Addresses the more complex issues and provides specialized reports and data to related team.   

 

Responsibilities:

 

  • Reviews and creates lease abstracts from contracts & other documents ensuring completeness and accuracy
  • Maintains, tracks and monitors on lease information such as terms, clauses, rental obligations, and critical dates
  • Rent analysis and Rent payment processing
  • Monitors, tracks and reports on critical dates these may include lease expiration dates, security deposit returns from landlords, lease rental increases and lease rental abatement provisions
  • Ensures landlord billings information is updated and payments are coordinated with Accounts Payable without overdue
  • Updates and maintains the CoStar system as assigned and maintains leasing files and information
  • Manage the accounting entries of all financial transactions related to leasing, including but not limited to rental invoices, renewals, store / office expenses
  • Closely communicate and partner with Landlords, Local Country Finance Teams, the Real Estate Team, and other cross-functional departments to ensure smooth delivery of lease-admin related work
  • Prepare daily, weekly and monthly tracker and  reports in an accurate and timely manner – lease and other ad hoc assignments

 

Requirements

 

  • Degree holder or above in Finance / Business or Accounting related disciplines
  • Minimum 3 years of experience in leasing / rental administration / commercial field, preferably in retail industry or MNCs
  • Detail-oriented, strong attention to accuracy, self-motivated, strong problem solving skills and proven capability to meet deadlines
  • Fluent of both written and spoken English, Cantonese and Mandarin
  • Good interpersonal skills; with the ability to work with people from all levels              
  • Proficiency in Microsoft Word, Excel, PowerPoint, Chinese Word Processing and familiar with CoStar and Microsoft AX or similar ERP system is an advantage
