Job Description

SUMMARY:

The Admin Supervisor will lead a team to provide all-functional administrative support to the managers and employees, organize and coordinate office operations and procedures in the office and work to provide a productive and lively work environment.

KEY DUTIES AND RESPONSIBILITIES, include the following. Other duties may be assigned:

      • Establish, maintain and update environment, health and safety policies, and coordinate all the functions to keep the work environment continually improving

      • Lead admin team and Oversee general office management in line with policies and procedures as defined by the company

      • Answer incoming calls and manage visitor reception related service

      • Facility management incl. purchase, maintenance of office record, furniture and equipment

      • Manage office operation, including IT networking, logistics, premises condition, etc.

      • Implement and control administrative flow cost, such as stationary, telephone, and office utilities/ expenses, transport etc

      • Design and organize a variety of regular and ad-hoc company level meetings e.g.  All Hands meeting

      • Conduct cost analysis and vendor management including Vendors negotiation and contract renewal

      • Arrange travel support for leaders and visitors

      • lead the office expansion project, including, commercial negotiation, decoration and other logistics arrangement.

      • Manage the offices supplies inventory and equipment and liaise with suppliers

      • Manage, train and coach office secretary/assistants and cleaners in the responsible area.

      • Respond to other departments’ admin request, provide high quality admin service

      • Inventory control and warehouse management

      • Other projects assigned by the company  

QUALIFICATIONS

Strong communication skills with various departments vertically and same functions horizontally

Comprehensive knowledge of facility management, sourcing and vendor management.

EDUCATION and/or EXPERIENCE

4-6 years office/admin management experience in a multinational company with customer oriented environment.

Bachelor degree

LANGUAGE SKILLS

Cantonese, good English and mandarin.

Ability to write routine reports and correspondence.

Ability to communicate effectively with internal and external customers.

COMPUTER SKILL:

Familiarity with Windows environment. 

Ability to learn software applications quickly. 

Experience with computer applications such as work processing, spreadsheet, and database programs.
