Position Summary:
 

The Operations Manager will be responsible for ensuring that FTI Asia’s business operations are efficient and effective and that the proper coordination of the operations functions (HR, Marketing, IT and Finance) (“Core Operations) is in place to ensure that issues spanning more than one function are delivered with a service orientation.



Key Responsibilities:

  • Managing the provision of office space and facilities across all Asia locations (10), working with key stakeholders as appropriate, including the business, IT, HR and Finance
    • Analysis and strategy of new office space and facilities to best support the business based on key objectives which will be jointly agreed across groups of stakeholders (working with the MD, Strategy and Operations)
    • Ongoing management of existing office space including analysis, reporting and continuous improvement of space and facilities in line with changing business needs (working with the MD, Strategy and Operations)
    • Preparing and managing shared office budgets in Hong Kong, Singapore and Shanghai
    • Planning and overseeing the execution of internal and external office moves
    • Management of a range of external service providers
    • Landlord and building management relationship management
    • Management of the key external service providers
    • Management of local office managers
  • General operations support and coordination to ensure the smooth running and alignment of business as usual and special projects involving multiple Core Operations teams in Asia
    • Act as a liaison between Asia practice groups and the Core Operations teams and bind them together via project teams etc.
    • Take responsibility for communicating such information to relevant stakeholders
    • Act as the “go to” person for all offices in Asia when they have problems
    • Project manage the process of opening and closing of offices
    • Build relationships with key stakeholders throughout the business
  • Oversee fully documented policies and procedures across all offices via standardised documentation and forms
    • Take responsibility for creating and implementing certain operational policies with a focus on instilling corporate discipline and maintaining expenditure within certain guidelines (individually and on a regional basis) (e.g. travel)
    • Develop a maintenance program to ensure the timely updating and ongoing usefulness of such documents
    • Put in place processes for the appropriate and timely communication of policies, updates and ensuring all regional staff are empowered with the information required to perform their responsibilities within policy
 
Key Requirements:
 
Education/Experience/Qualifications:
  • Possess 8-10 years of multidisciplinary experience in Operations, Office Management or Facilities Management within professional services/ financial services firms
  • Experience of working across teams and building strong relationships with all stakeholders
  • Experience in preparing budgets and managing P&Ls
  • Previous team management experience
  • Batchelors degree in law or accounting/ finance related

Business Skills

Must be an excellent face-to-face and telephone communicator. Ability to plan time efficiently. The ability to work quickly and collaborate effectively with a global dispersed group of colleagues is essential. Able to understand and explain metrics and able to quickly generate metrics from existing measures.
