Job Description

TITLE: Director of Operations
DEPARTMENT: Executive MBA Program – Asia
LOCATION: The University of Chicago Booth School of Business, Cyberport, Hong Kong. (Relocating to new campus at Mt. Davis in summer 2018.)

GENERAL SUMMARY: Reporting to the Associate Dean, Executive MBA Program – Europe and Asia, the Director of Operations oversees the daily operation of the Chicago Booth Asia Campus in a variety of areas: Finance, IT/AV, Facilities, Procurement, HR, Legal and Compliance. The position will ensure the smooth and efficient running of all aspects of the Asia campus operations, and works extensively with internal colleagues and external service providers to achieve a well-functioning and efficient office and technology environment.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

Facilities & Space Management
• Ensure the smooth running of campus building facilities and campus access, and the relationship with the Building and Facilities Management Offices.
• Develop the facilities maintenance programs, oversee the daily cleaning schedule and evaluate the quality of service provided by vendors.
• Oversee campus space reservation system and event setup and logistics with the Event Manager.

Budget, Finance and Compliance
• Prepare the budget and quarterly reports with analysis for management review, ensure accuracy and timely financial reporting including audit reports.
• Manage the financial processes, internal financial guidelines and the external accounting firm in invoice processing and staff reimbursement.
• Oversee fiscal, governance and government compliance, and ensure smooth and timely execution of statutory and legal compliance.

IT/AV support and Procurement
• Provide back-up IT (PC and MAC), AV (Crestron and sound system) & office equipment support for hardware and software issues, and coordinate the use of technical systems: class recordings, and Audio and Video Conferencing.
• Oversee the fault escalation, technical follow-up, and relationship with internal & external AV and IT and other vendors.
• Develop and monitor relationships with external vendors.
• Represent school in negotiating contracts with external vendors, such as IT support, summer hotel, etc.

Human Resources support
• Process new joiners and leavers
• Local management of HR / benefits processes and policies
• Work with Booth’s Chicago HR Department to ensure compliance with HR policies

Executive MBA Program support
• Assist Program team as needed with student services, program events and projects

MEASUREMENTS OF SUCCESS:
• Successful completion of scheduled tasks and projects
• Meet project deadlines and targets
• Demonstrate a high level of operational competence
• Show ability to work efficiently with minimal direction and to anticipate issues and problems
• Effectiveness of operational support and vendors/building services/IT AV management
• Overall rate of efficiency, accuracy, timeliness and organization of all assigned tasks

KNOWLEDGE, SKILLS AND EXPERIENCE:
• Bachelor’s Degree in Business, IT or Facilities Management or related area
• At least 8 years of progressive, relevant experience in higher education, training or hospitality industry preferably in a multi-cultural and diverse environment
• Excellent interpersonal skills, organizational skills, initiative and attention to details
• Ability to make decisions and resolve problems
• Demonstrated ability to multi-task and meet deadlines in a fast-paced environment
• Excellent oral and written communications skills in English and Cantonese required. Mandarin language helpful
• Collaborative work style, highly organized with strong analytical skills, independent and resourceful
• High proficiency in Microsoft office (especially Excel, Word, PPT) and Adobe required
• Must be able to work legally in Hong Kong on a permanent basis

SALARY AND BENEFITS
The salary will be competitive and commensurate with experience. In addition to salary Chicago Booth offers an attractive benefits package including 20 days holiday per year – prorated (excl. Hong Kong Public Holidays), MPF fund contribution, private medical insurance offered.

Reports to Associate Dean, Executive MBA Program – Europe and Asia
Direct Reports – Operations Manager and Event Manager
