Job Description

Secretarial and Administration

  •    To provide comprehensive secretarial support to the Senior Vice President
  •    To compile strategic reports and summary reports as required
  •    To prepare presentations for use at SMT/internal meetings and vendor presentations
  •    To report critical issues and events that require immediate action
  •    To greet and direct visitors to appropriate area on behalf of manager
  •    To answer telephone calls and take messages, answer routine inquiries
  •    To administer incoming mails, reports, and correspondences for the department
  •    To produce correspondences and reports using appropriate software and tools
  •    To establish and maintain files and records
  •    To arrange travel reservations and accommodations, ensuring that travel arrangements are made in accordance with company policy
  •    To maintain calendar for the Senior Vice President

Customer Service

  • To support the team members in answering enquiries from internal/external parties or direct enquiries to the appropriate person to handle
  • To update and maintain all organization charts for the division
  • To maintain the complete documentations and files within the department
  • To handle confidential information with utmost discretion
  • To take time to turn every complaint into an opportunity to exceed customers’ expectations
  • To fully understand and be able to communicate our Omni-channel service to customers if needed

Communication

  • To communicate politely and sensitively, ensuring that any issues are followed up promptly including all meeting arrangements  with appropriate persons
  • To take minutes of meetings as required and distribute accordingly
  • To respond to both internal and external customers in an efficient and polite manner
