Job Description

To cope with the Company expansion plan, we are currently looking for competent and detail-oriented individuals to provide professional and logistics support to the success of our first offshore Global Service Centre (GSC) project in Kuala Lumpur, Malaysia. These individuals are expected to work in Hong Kongwith the Headquarters Project Manager and the opening team to assist with planning, coordinating and implementing project initiatives.

 

Responsibilities: 

Project management

  • Provide support to Project Manager and the opening team in the setup of offshore Global Service Centre project and assist in executing the project plans
  • Coordinate appointments and scheduling of events, resources, equipment and information
  • Organise, attend and participate in stakeholder meetings
  • Identify stakeholders’ requirements and facilitate strategic initiatives and project movements
  • Oversee project procurement and logistics management
  • Prepare and maintain spreadsheet of all project initiatives’ timeline­­­­­s
  • Monitor the project progress and quality control of both the project and team members’ performance in a timely manner
  • Review delivery schedules of ongoing projects to improve efficiency and cost effectiveness, and at the same time, to eliminate blockers and avoid project pitfalls
  • Manage project budgets and expense reconciliation to keep track of project finance and provide periodic progress report
  • Ensure completion on time and fulfilment of contract requirements

 

Research, risks and opportunities analysis

  • Conduct research, make site visits, and find resources to help project manager and the opening team to make decision about project initiatives possibilities
  • Propose new ideas to improve project planning and implementation process
  • Adapt techniques and processes, and incorporate knowledge from on-the-job experience and continuous research
  • Assess project risks and issues, and provide solutions where applicable

 

Communications with stakeholders

  • Act as the point of contact and communicate project status to all stakeholders
  • Maintain internal management and communication with all levels of team members up to C-suite
  • Serve as liaison with vendors on project initiatives related matters
  • Coordinate with relevant internal and external parties to ensure all procedures are in compliance with statutory requirements and international standards

 

Administrative support

  • Document and follow up on important project activities, actions and decisions prior, during and after the project initiatives for internal and external communications
  • Perform regular administrative duties including but not limited to travel arrangement, purchase requisition, quotation request and negotiation, contract maintenance and payments, reviewing and submitting project related invoices for payment, etc.
  • Some outside meetings and occasional travel with project manager may be required

 

Requirements: 

  • Bachelor degree in business administration or related field of study
  • 5 years or above proven experience as a project coordinator or similar role
  • Experienced in project management and coordination, from conception to delivery, from budget creation, management to reconciliation
  • Able to prepare and interpret flowcharts, schedules and step-by-step action plans
  • Able to accomplish project initiatives with little supervision, and to work effectively both independently and as part of a team
  • Exceptionally organised, multitasking and able to meet tight deadlines
  • Familiar with risk management and quality assurance control
  • Excellent communication skills, including writing, proof reading and speaking
  • Proficient using the Web to conduct research, event administration and procurement
  • Strong working knowledge of MS Project, hands-on experience with project management tools, PMP/PRINCE2 certification is a plus
  • Flexible, creative and a problem solver
  • Immediate available is preferred
  • Candidates with less experience shall be considered as Project Coordinator
