Job Description

 

Responsibilities:

  • Providing full spectrum of secretarial support to CEO, Asia Pacific and Regional Team includes handling incoming/outgoiong  calls, managing calendars, draft letter correspondences and preparing presentations. 
  • Arranging travel booking, prepare expense claims in accordance to Company policy 
  • Organizing meetings with the Regional team, countries, and any other third parties 
  • Renewing CEO’s company car license and insurance 
  • Organizing meetings to ensure compliance with the regulatory deadline   
  • Taking minutes for ExCom and meeting with Chinese counterpart 
  • Reviewing, proof read and editing documents
  • Providing general administrative support to the Regional team, includes monitoring office supplies, equipment maintenance & etc. 
  • Creating and maintaining a proper document filing and archiving system 
  • Preparing the monthly accounting report for Regional Office 
  • Organizing the Management Committee meetings, circulate and compile of the agenda and materials, to book the meeting rooms and order refreshments/food as required. 
  • Organizing Senior Management visits from Head Office  and supporting the company events, if required and ad-hoc projects/tasks as assigned

Requirements:

  • Degree holder preferably with solid full spectrum of secretarial support to expatriate CEO and demonstrate the ability to work well in a small team and in a fast paced environment
  • Proactive, mature, pleasant, charming, strong team spirit with positive and can-do attitude
  • Analytical, detail-oriented, well-organized, and ability to work efficiently under pressure, multi-task and meet tight deadlines
  • Strong communication and interpersonal skills
  • High proficiency in MS Office with excellent PowerPoint and Excel skills
  • Fluency in English and Mandarin is a must
  • Immediate Available is an advantage
