Job Description
Job Title: Secretary / Administrative Executive
Job Description:
The Secretary / Administrative Executive will perform various duties to support the CEO and administrative task on behalf of the whole organization. He / She will be primarily responsible for the administration of the day-to-day operations and carries out responsibilities of the following functional areas: HR, Administration and Finance.
Job Responsibilities:
Secretary to the CEO
- Performs general administrative and secretarial support
- Manage calendar and schedule meetings and appointments
- Prepares minutes of meetings
- Responsible for local and international travel arrangements (airfares, hotels, currency exchanges etc.)
- Maintaining personal filing system
- Preparation of expense reports
Administrative Duties
- General HR duties - maintaining employee personnel records (annual leaves, staff information, etc.)
- Processing of Travel and Medical insurance for staff
- Office administrative tasks which includes office environment, equipment maintenance, stationery stock control, etc.
- Logistic support for business meetings and travel - hotel & air ticket booking, travel insurance and travel document application.
Other Duties
- Support Sales Department on monthly QC of screeners
- Perform other ad hoc duties as assigned.
Skills:
The Secretary / Administrative Executive must possess excellent organizational skills with strong attention to detail. He / She must be have strong communication skills (written and oral) and strong IT proficiency, particularly with Microsoft Office applications (Word, Excel, Outlook). He / She must have proactive approach to problem solving and ability to adapt to shifting priorities, meet deadlines and execute in a fast-paced environment and must have the ability to interact comfortably with all levels of the organization. Fresh graduates are welcome. Immediately available will be highly preferred.
