Job Description

Role Mission

The eCommerce Logistics Coordinator is the liaison between the eCommerce team and third-party warehouse.  This multi-disciplinary role is responsible for (1) ensuring best practices are implemented in order fulfillment, (2) improving customer satisfaction with packaging and delivery, and (3) partnering with the third party warehouse on special projects and strategic activities aimed at improving eCommerce operations.

 

Key Accountabilities

Third party warehouse liaison

  • Review the order fulfillment process to ensure the right procedures and efficiencies are in place.
  • Manage training for all eCommerce operation processes, ensuring WW and regional best practices are implemented at all times. Document new procedures, when required.
  • Prepare and update all training materials to reflect latest directions from WW team (e.g. new packaging guidelines for new lines and special collections) 
  • Provide inputs such that third party warehouse can plan for additional resources during peak time

 

Client Services and Customer Operations

  • Work with third party eCommerce warehouse and/or couriers to ensure fulfillment and delivery issues are resolved quickly and with minimal impact to the end customer
  • Assist eMerchandiser with store transfers and back-orders to expedite order fulfilment
  • Track that incoming product is arriving according to expected delivery dates
  • Ensure correct prioritization of VIG and special orders
  • Manage all operations-related activities necessary to deliver white glove services, established for Hong Kong eCommerce
  • Assist eCommerce Client Services and Operations team in resolution of order-related issues by liaising between client and internal/external groups (warehouse/courier/repairs)

 

Project management, reporting and budgeting

  • Continually identify opportunities to improve operations and reporting
  • Prepare weekly and monthly reports to monitor and improve KPIs related to SLAs
  • Create packing stock model and manage budget for all packaging supplies. Monitor usage rates and re-order as needed.
  • Work closely with third party warehouse team to coordinate all logistical aspects related to special projects and regional initiatives
  • Share best practices and learnings with regional counterparts

 

 

Key Requirements

  • 3 to 5 years’ experience in e-commerce operations.  Previous experience within Luxury is highly desirable.
  • University degree
  • Cantonese mother tongue
  • Fluent in English and Mandarin
  • Client centric mentality, attention to details and quality
  • Experience working with third party vendors
  • Excellent Microsoft Office skills
  • Highly motivated and flexible individual with a proven ability to work within cross-functional teams and solve issue in a timely and satisfactory way.
  • Ability to communicate effectively with individuals at all levels, both internally and externally.
  • Problem solver and attention to details. 
  • Ability to manage multiple tasks in a fast paced and growing environment.
  • Autonomy and a strong sense of responsibility.
  • Positive, enthusiastic, able to take initiative with a can-do attitude
