Job Description

Come work at the world’s most respected gemological laboratory as a Office Administrator in our GIA Hong Kong Laboratory located in Central Hong Kong. This position provides clerical, administrative and human resources support to the Human Resources Manager, GIA HK and Laboratory Director, GIA HK as well as GIA Corporate by performing the following duties.

 RESPONSIBILITIES

 

  • Provide general administrative support with any related tasks assigned.
  • Oversees all maintenance of Air Cons, faxes, copiers and office equipment.
  • Assists with Manager in office renovation and any related tasks.
  • Oversees all in-house purchases such as stationary, refreshments, cleaning materials, kitchen implements, etc, with appropriate approvals
  • Oversees the work of the Housekeeper and ensures that GIA premises are kept spotlessly clean and adheres to acceptable hygienic standards.
  • Office Coordination duties and liaise with building management.
  • Coordinates company events eg. Christmas Party, Annual Spring Dinner, Company Outing.
  • Performs any other duties as may be assigned from time to time to meet the exigencies of GIA.
  • Communicates effectively, gets along with coworkers and management, and deals with others effectively and professionally under pressure.

 

QUALIFICATIONS/REQUIREMENTS

  • Degree / Diploma holder in Human Resources Management or equivalent  with minimum 5 - 7 years’ relevant and solid experience in office administration.
  • English medium preferred, English as a Second Language required.  Must be able to communicate in English (understand, read and write) and participate in training taught in English.
  • Ability to speak with various individuals, employees, colleagues and GIA clients over the phone in a professional manner and in person.
  • Excellent communication and problem-solving skills and excellent multi-tasking skills required.
  • Must be dependable, well organized, mature and be able to take direction and work independently.
  • Must be proficient in Microsoft Word, Excel & Outlook.
  • Ability to get along with a diverse group of individuals in Hong Kong and other international locations.
