Job Description

Job duties:

  • Implement new procedures and administrative systems;
  • Organize and service meetings such as producing agendas and taking minutes;
  • Assist in day-to-day HR duties such as vocation and sick time are tracked and put into the payroll system;
  • Provide clerical support for managers, which includes filing, cheque arrangements, travel arrangements and other miscellaneous duties
  • Liaise with relevant organizations and clients;
  • Assist in organizations and clients;
  • Design, implement and maintain filing systems, both electronic and paper;
  • Responsible for data entry and updating reports;
  • Reception duties such as answering calls, taking messages, handling correspondence, couriers and mailing arrangement, meeting and greeting visitors;
  • Maintain diaries and arranging appointments;
  • File and update contact information of employees, customers, suppliers and external partners;
  • Perform all-rounded office administrative duties, order stationery and other office supplies as well as office equipment maintenance;
  • Maintain cleanliness in conference rooms and kitchen including cleaning whiteboards, off-counters and utensils.

Requirements:

  • Diploma or above with at least 3 years' administration experience in sizable organizations;
  • Proficiency in using Email, MS Office & Chinese word processing
  • Strong sense of responsibility, well-organized and self-motivated;
  • Reliable, strong sense of responsibility, good interpersonal and problem-solving skill;
  • Good command of written and spoken in English and Chinese, with proficiency in PC skills;
  • Ability to work independently, set priorities, troubleshoot and multi-task;
  • Must be able to handle sensitive matters and exercise excellent judgment;
  • Able to follow up on unresolved issues;
  • Telephone etiquette;
  • Language: Native or fluent Cantonese and English speaker preferred.
  • Candidates with less experience will be considered as Administrative Officer
