Job Description

Duties:

  • Manage the daily calendar including schedule of appointments, meetings and trips for the Command Personnel Secretary
  • Provide secretarial support to meetings, including preparing agenda, taking minutes, preparing various correspondences, providing Chinese/English translation and uploading documents to the Army’s website
  • Handle incoming mails and documents, typing, answering phone calls, making travel arrangements, arranging payments / reimbursements and housekeeping duties
  • Prepare the annual budget, monitor the regular departmental expenses report and report to the Command Personnel Secretary any irregularities and discrepancies
  • Set up and maintain an effective filing system, including electronic systems for records, reports and correspondences; Maintain and update Officers’ personnel records and furlough records
  • Assist in the administrative and Human Resources work related to Officers and arranging the activities and events for Retired Officers
  • Collaborate with Human Resources Department on HR matters where necessary
  • Report to the Command Personnel Secretary concerns or problems, if any, requiring attention
  • Perform other duties as assigned by the Command Personnel Secretary/Leadership

 

Requirements:

  • Understanding of the Christian faith, values and ethos of The Salvation Army
  • Bachelor Degree in Business Administration, Human Resources Management or other related disciplines
  • Formal Secretarial Training
  • Minimum 8 years’ solid experience in a Personal Assistant/ Executive Assistant role serving the senior management, especially serving Head of Human Resources is preferable
  • Demonstrated maturity and confidentiality
  • Ability to communicate well and effectively with all levels of professionals across the organization and outside contacts
  • Pro-active, strong sense of responsibility, detail-minded, well-organized, patience
  • Able to work independently
  • Proficient in both spoken and written English and Chinese (Putonghua included)
