Job Description

Responsibilities:

  • Registration of outgoing mail (sorting, packing & registration)
  • Distribution of incoming mail
  • Supervise, plan and assign work to driver, messenger and office assistants to ensure a smooth running of office operations
  • Responsible on every order arrangement such as utilization of company’s vehicle and delivery service including delivering company’s proposals to clients
  • Arrange office seating
  • Act as person in charge to source and liaise with suitable suppliers relating to purchasing & maintenance of office equipment and stationery to ensure they are in good condition with sufficient supply
  • Follow up on invoice payment
  • Responsible for all transportation and accommodation arrangement for visitors including research and site visit to hotel & service apartment
  • Liaise with contracted vendors on renewal issues
  • Act as contact person to liaise with landlord’s & building’s management representative on all operations including fire drill and festival event during Chinese New Year
  • Responsible for maintenance and renovation works of the office
  • Responsible for all registration works (e.g. company’s vehicle) and membership renewal (e.g. Hong Kong Post e-Cert, Amcham, HKIE, HKGCC etc.)
  • Perform routine office inspections and arrange maintenance for corresponding equipment to ensure security, health and safety compliance to corporate requirements
  • Prepare cost analysis and report for various administration expenses
  • Manage smooth operation of the remote warehouse
  • Back up of Reception, Pantry, serving tea to clients, mail run and meeting arrangements 

Requirements:

  • Form 5 or above, preferably with Diploma holder of Business Administration or related discipline
  • 2-3 years’ experience in handling Office Administration
  • Able to work independently, good team player, initiative, high attention to details and accuracy, well organized, multi-tasks, strong analytical skills and interpersonal & communication skills;
  • Proficiency in MS Word, Excel, PowerPoint and Chinese Word Processing;
  • Good command of both written and spoken Chinese and English; and
  • Immediate available is highly preferred
