Job Description

Responsibilities:

Sales

  • Prepare invoices, purchase orders, monitor payments, arrange after sale documents for customers 

Leasing

  • Setting up new leasing contracts, preparing invoices for new and existing leasing contracts, reconciliation, maintaining lease records 

Customer File Maintenance 

  • Setting up new customers / suppliers and maintaining records and relationships 

Procurement 

  • Entering supplier invoices into system, following up with collection dates and schedules 

Shipping 

  • File maintenance, maintenance & repair, billing shipping line for late returns and pick up charges etc, communicating with shipping line and depots to ensure collection of containers
  • Order co-ordination and liaison with overseas suppliers, customers and related parties to fulfill shipment


Logistics

  • Prepare inventory reports
  • Monitor and upkeep the stock movement in the stock tracking system
  • Follow up the stock take reconciliation 
  • Prepare and monitor stock level and order planning
  • Perform ad-hoc project / task assigned
  • Assist management with related tasks

Administrative duties

  • Photocopies and files appropriate documents as needed
  • Interacts with directors and carries out their requests
  • Maintains stock lists and orders office supplies as needed
  • Answers phone calls and transfers them as necessary
  • Provide administrative support for operations team
  • Schedule meetings and travel arrangements for senior members of the comp
  • Conduct ad hoc clerical duties


Requirements:

  • Diploma in logistic management / shipping will be an advantage
  • Preference to candidates from similar industry 
  • Preference to candidates that are familiar with Real Asset Management (RAM) system 
  • At least 3 years relevant experience
  • Good command of both written and spoken English & Mandarin
  • Good in MS office and Excel, Mac 
  • Good at negotiation & communication skills with suppliers
  • Able to work independent, well organized and self-motivated
  • Must be ok with high stress industry, and very hard worker 
  • Applicant must be available for immediate start 
  • Applicant must be ok with working in a smaller company dynamic
