Job Description

Key Responsibilities & Accountabilities

  • Play receptionist role as screening/answering and handling the incoming calls promptly and professionally, greet visitors and direct them to appropriate staff, answers questions from visitors and provides information as required
  • Handle incoming and outgoing faxes, mail, couriers and pouches, and ensure timely dispatch and appropriate distribution of messages and mails with records
  • Keep stock of office supplies and purchase any office necessities in cost effective manner
  • Handle courier and mailing
  • Arrange air ticket and hotel accommodation for staff
  • Keep the office and receptionist area clean, tidy and secure
  • Establish good relationship with landlord and communicate with them to fix problems if any in the office
  • Provide logistic support on interview arrangement
  • Manage staff’s meeting room’s reservation and facilities usage
  • Assist HR & Admin Manager in organizing company event and activities
  • Monitor petty cash box and prepare reports to Account Department for the claim
  • Regular update HR & Admin documents e.g. telephone list, floor plan etc.
  • Prepare document for staff onboarding
  • Check invoice and pass to HR & Admin Manager for approval
  • Work with Marketing Department to make sure all leaflets on shell are updated and has sufficient
  • Ensure client reception quality is excellent, when communicating and liaising with client ensure they are informed of BSI’s products and services, and identify potential Driving Force opportunities.
  • Work closely with the Training department to ensure smooth ‘set up’ and operation of the BSI Training Academy courses delivered in the BSI Hong Kong training rooms.
  • Other HR & Admin tasks as assigned by HR & Admin Manager.

Knowledge / Skills / Abilities

  • Diploma or above with minimum 2 years’ experience in office administration and reception;
  • Good command in both English and Chinese;
  • Proficient in MS word, Excel, PowerPoint and Chinese word processing; 
  • Passion at HR & Admin sector;
  • Strong communication skill and good telephone manner
  • Proactive, cheerful, responsible, obedience, good team player with can do attitude;
  • Customer oriented and willing to learn
