Job Description

The Role:

  • Lead a team (reception & catering) in executing, and hands-on management of the daily operation work
  • Review, formulate and implement office adminstration and security policies and procedures to achieve the higest standard of efficiency and effectivness including acting as local Security Champion
  • Monitor maintenance services, functions of building facilities, office administration work and service provided by contractors, operators and vendors to enhance the quality, timeliness and effectiveness of the services
  • Plan, execute and monitor office relocation and renovation work or repair and maintenance of the building facilities and systems
  • Handle procurement, vendor management, contract negotiation, space planning and project management
  • Review specification, tender/quotation analysis and recommend the award of tender/quotation for senior management’s review and approval.
  • Communicate with various internal and external customers and vendors
  • Comprehend and be able to issue internal/external communications as and when necessary
  • Maintain accurate and up-to-date administrative records and reports including maintenance service agreement schedules, renewals or payments
  • Ensure all service agreements/contracts with various vendors are engaged and documented accordingly
  • Coordinate the preparation of various functions/events
  • Act as BCP champion for HK and work closely with regional BC team to facilitate the annual BC exercise and conduct trainings as necessary
  • Recommend and drive continuous improvements
  • Handle ad hoc projects and assignments

 

Our Requirements:

  • Degree/Higher Diploma in Real Estate, Facility or Administration Management or equivalent with minimum 5 years’ solid experience at managerial level, preferable in sizable organization
  • Customer-oriented, strong interpersonal, supervisory and leadership skills
  • Strong planning and implementation skills, with an eye on details
  • Experience in handling large renovation projects
  • Excellent project and people management capabilities
  • Able to manage multi-projects and work under tight time frame
  • Excellent communication, influencing and problem solving skills
  • Proactive, diplomatic and strategic mind-set with a hands-on approach
  • Good command of both written and spoken English and Chinese
  • Good proficiency in MS Office (Excel, Word, PPT) and Chinese word processing
