Job Description

Role Information:

  • Full-time
  • Located in Tin Hau, Hong Kong
  • Reports to:
  • Supports the whole board of Directors of the Swiss Camber
    • The President of the Chamber
    • The Vice-President/the Treasurer if the President is absent

Mission:

Provide the board of Directors and the members of the Swiss Chamber of Commerce in Hong Kong all-rounded support in terms of administration, accounting and event management.

Responsibilities:

Administration

 

  • Handle incoming and outgoing emails, phone calls, postal and courier delivery
  • Organize all members profile and all types of membership administration tasks
  • Organize board meetings and various meetings, including preparation of relevant documents, agenda, minutes
  • Handle calendar management and travel arrangements when required
  • Update and maintain the content of website & social media platform
  • Recommend solutions for continuous process improvement
  • Perform ad hoc projects and tasks as necessary.

 

Event management and relationship with members

 

  • Plan, execute end implement events from start to finish according to requirements
  • Develop and maintain sponsorships
  • Be the onsite support of all the events
  • Responsible for new members’ recruitment, including meeting with potential members and follow up emails
  • Always maintain excellent relationship with members, potential members and event partners
  • Responsible for handling and processing members’ profile update and all types of membership administration tasks which require data capture function

 

Accounting

 

  • Handle accounts payable, verify and process payments for vendor invoices and expense reimbursements with support documents.
  • Handle accounts receivable including billing and collection.
  • Perform monthly bank reconciliation and daily bank activities
  • Maintain good accounting records and filings
  • Assist month end closing and year end audit
  • Assist company secretary in handling company secretarial matters

 

Role Requirements:

 

  • Valid Hong Kong work permit/allowed to work in Hong Kong
  • Native Cantonese, excellent English. Good verbal and writing skills in English are required as it is the working language. Mandarin a strong plus.
  • Balanced, mature, self-motivated and self-initiative
  • Minimum 5 years of relevant experience, experience in Chamber/Associations is an advantage
  • Outstanding organizational skills, ability to manage a great variety of tasks efficiently
  • Very high attention to detail
  • High degree of common sense and a willingness to assume responsibility
  • Proficient with Microsoft Office, Excel and Power Point
  • Basic knowledge in Html, Adobe Photoshop and Illustrator
  • Ability to operate under pressure and meet tight deadlines
  • Ability to work in the evening for events and meetings. Flexibility is offered to maintain work-life balance.

  • Knowledge on organizing Annual Ball/Gala Dinner will be an advantage
  • Immediately available is preferred
