Responsibilities

SUMMARY
Works with the post 16 leadership team to ensure the smooth administration of the Post 16 Curriculum and administrative support. Post 16 team consists of Vice Principal, Director of Learning, Head of Year 12 and Year 13.

ADMINISTRATIVE SUPPORT

  • Secretarial and administrative duties which include typing, filing, minutes, notes, reports, references, transcripts etc and disseminating to others
  • Administrative support for the Post 16 CAS coordinator, monitoring post 16 CAS progress and reporting CAS concerns
  • Contacting and responding to parents, dealing with student enquiries and making appointments as needed
  • Administration and catering arrangements for functions and meetings e.g. graduation, formals, parents evenings for Post 16
  • Assist with communications and events organization for the transition of new students into post 16
  • Help/ assist with phone calls, visitors, evacuation procedures as needed
  • Placement of orders for the General Office
  • Overseeing facilities bookings for the G&A & Well Being areas
  • Arrange and manage student lockers for Post 16 students
  • Performs other duties and assumes accountabilities as apparent or as delegated, including mutually agreed upon objectives.

SUPPORT SPECIFIC TO THE IB CURRICULUM (full training and support will be provided)

  • Check and ensure IB student registration is correct and updated on the IB registration system (IBIS) in a timely manner
  • Manage the timeline and provide admin support to teachers for e-coursework upload, IA/PG input and IA sample upload on IBIS
  • IBIS and myib account maintenance; support all teachers and students’ usage inquiries on IB system(s)
  • Handle IB remark/retake requests and ensure that all payment is processed
  • Register teachers for IB Workshops, arrange travel logistics for all overseas training
  • Provide administrative support to ID/ IBCP Coordinator on Y12 Work Placement arrangement and document all evaluation forms
  • Handle and verify all IB invoices and ensure purchase orders are raised
  • Ensure all IB required deadlines are met
  • Prepare Y13 IB Mock Exam stationery
  • Provide admin support to IBDP Coordinator on ad-hoc assignments and assist in organizing IB related events

REPORTING TO

  • VP/IB Coordinator and Director of Learning Post 16

Requirements

  • 3 years administrative experience preferably in a secondary school environment
  • Strong organizational skills, data accuracy and attention to details
  • Strong communication skills with good command of English as a minimum and preferably to also have Cantonese and/or Chinese
  • Excellent computer skills, good working knowledge of Google applications is a definite plus
  • Flexibility and the ability to manage a range of different tasks simultaneously
  • Ability to establish effective working relationships with staff, students and parents
  • Ability to work independently and as a team
  • Ability to work under pressure and meet deadlines
  • Excellent interpersonal, communication and organizational skills.
  • Ability to be flexible, prioritise workload, to work independently and use initiative.
