Job Description

RESPONSIBILITIES

 

Secretarial and Administrative Support:

  • Provide secretarial support to meetings, including preparing agenda, taking minutes, preparing various correspondences, providing Chinese/English translation and uploading documents to the Army’s website
  • Assist in preparing the annual budget, annual report, monthly reports, statistics and analysis
  • Handle and keep track of budget expenditures and payments
  • Maintain an effective filing system
  • Handle general administrative duties including mails, stationery, furniture inventory, maintenance and control of office equipment, etc.
  • Maintain daily operations of GCMTC, Library and Command Resource Centre

 

Training

  • Assist in identifying on-going training needs for Officers, Local Officers and Soldiers of The Salvation Army
  • Liaise with facilitators and coordinate their involvement in the training programmes
  • Register for students, arrange venue, equipment and logistics for trainings
  • Prepare training materials
  • Conduct course evaluation and analysis reports
  • Promote training programmes

 

Command Resource Centre

  • Responsible for the daily operation of the library.  Update and maintain database
  • Maintain library membership records and produce monthly track of statistics
  • Assist in collecting, sorting, cataloguing and preserving all archival documents and articles
  • Manage the Resource Centre catalogue system, and prepare the annual inventory statement
  • Assist in establishing, implementing and reviewing policies and procedures for Library and Resource Centre
  • Assist in promoting the use of the Resource Centre and services

 

REQUIREMENTS

  • An understanding of the Christian faith, values and ethos of The Salvation Army
  • Degree in Translation / Linguistics or related discipline
  • Minimum 3 years’ administrative working experience; some library experience is preferred
  • Experience in involvement, establishment & promotion of church training programmes or related project administration is an advantage
  • Some knowledge of Christian vocabulary
  • Strong PC skills in using MS Word, Excel, Powerpoint, and web applications
  • Proficient in both written and spoken English and Chinese
  • Proactive, strong sense of responsibility, attentive to details, well-organized, independent
  • A team player with good interpersonal, communication and problem solving skills
