Job Description

Successful candidate will be someone who

  • Possesses a helpful, cheerful, diplomatic and caring servant attitude to all.

  • Is punctual and dependable; very well organised, flexible and adaptable, and enjoy the administrative challenges of supporting the Senior Pastor in the daily performance of duties and functions in a very dynamic environment.
  • Must demonstrate an ongoing relationship with Jesus Christ through regular prayer, Bible study and worship attendance.
  • Is a worshipping member of MIC; has a heart for its ministry and the people of this church family.
  • Is willing to work occasionally on Saturday and Sunday.

Key Responsibilities

  • Be the gatekeeper for incoming telephone calls, emails and appointment requests to the Senior Pastor to ensure they are properly dealt with in a prompt manner either by the Senior Pastor or other appropriate staff members.  Handle all re-direction with care to ensure people are helped/served in a friendly and Christ-centred manner.
  • Be responsible for heavy calendar management and coordination, requiring interaction with persons both internal and external to Methodist International Church and the Senior Pastor.
  • Aid in preparation for meetings and events through the production of documents, handouts, reports, ordered meals, set up of rooms, reminders, etc. and record meeting minutes when requested.
  • Review and/or draft the Senior Pastor’s correspondence and answer mail and/or compose letters, as directed.
  • Handles travel plans and preparation for preaching, speaking, ministry and community engagements.
  • Maintain an effective document retention system of the Senior Pastor’s office.
  • Be a key person of the church member database project team.
  • Takes initiative for new and special projects.

Required Skills & Experience

  • Bachelor Degree with minimum 3 years’ experience as a senior level executive assistant
  • Experienced in handling a wide range of administrative, sometimes clerical, and executive support related tasks and able to work independently with little supervision
  • Strong English writing and verbal skills, knowledge of Chinese writing, Cantonese and/or Mandarin is highly desirable.
  • Attention to detail, with the ability to review correspondence for procedural and grammatical accuracy, conformance with policy/practices and factual correctness.
  • Ability to prioritize and multi-task projects and assignments, using good time management skills in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality
  • Strong working knowledge of computers and proficiency in Microsoft Office applications, PowerPoint, Outlook, Access, Publisher, Excel

The Methodist International Church (MIC), is a gospel-preaching, disciple-making, diverse community in the centre of Hong Kong. Established in 1893, it now comprises eight congregations worshipping in English, Putonghua, Tagalog and Ilocano. MIC has recently completed a 22-storey building redevelopment in Wanchai and is looking to greatly enlarge its mission and ministry to Hong Kong.

We are now looking for someone to serve as the confidential/trusted assistant to the Senior Pastor. She/he will provide high-level support to the Senior Pastor in a wide range of activities in the performance of his administrative and ministerial responsibilities, while interacting with staff, congregational members and the community.
