Job Description

This role primarily provides support for office administration, sales, and logistical operations. The person will act as the point of contact for all employees, providing administrative support and managing their queries. 

If you have previous experience as an office administrator or similar administrative role, we’d like to meet you. Our ideal candidate also has basic knowledge of office equipment, warehouse procedures and handling materials.

 

1. Skills / experience

  • Form 5 or above with proven work experience as an administrative officer, administrator or similar role
  • Solid knowledge of office procedures
  • Experience with office management software like MS Office (MS Excel and MS Power Point, specifically)
  • Strong organization skills with a problem-solving attitude
  • Excellent written and verbal communication skills (both Chinese and English)
  • Attention to detail

2. Responsibilities

  • Answer queries by external clients and employees
  • Prepare regular reports on expenses, sales orders, and inventories
  • Prepare other sales reports and presentations with as assigned
  • Maintain and update sales databases
  • Handle receipt and delivery of goods and maintain records
  • Store warehouse materials in orderly and accessible manner in warehouse
  • Work with contracted truck driver to ensure on-time receipts and deliveries goods
  • Ensure that all company’s motor vehicles are properly insured
  • Manage office supplies stock and place orders
  • Organize a filing system for important and confidential company documents
  • Update office policies as needed
  • Maintain a company calendar and schedule appointments
  • Distribute and store correspondence (e.g. letters, emails and packages)
  • Arrange travel and accommodations
  • Schedule in-house and external events
  • To support in carrying out other administrative and clerical tasks as assigned
