Job Description

LOCATION: The Hong Kong Jockey Club University of Chicago Academic Complex | The University of Chicago Francis and Rose Yuen Campus in Hong Kong

GENERAL SUMMARY: Reporting to the Senior Director, the Manager, Heritage and Community Outreach will be responsible for the daily operation of the Heritage Interpretation Center (HIC) and the outreach to the community to promote public interest of HIC as well as multiple university programs and initiatives. He/She will also work closely with campus staff in Hong Kong, UChicago Global team in Chicago, as well as other university and community partners to assist in the development of projects and activities which relate to heritage and community engagement.  

This position will also assist in a wide variety of special projects and other events as assigned.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

Main Responsibilities:

  • Manage the booking and scheduling of tours.
  • Conduct heritage tours to visitors including individuals and groups with a diverse age range and background.  
  • Work with facility management team and operation team on the daily operations of HIC. Review and streamline the process to enhance visitors’ tour experiences.
  • Prepare publicity materials and manage printing of brochures, information leaflets, etc.
  • Manage HIC website content and collect feedback from various channels for future adjustments to the HIC exhibits and operations.
  • Manage the HIC smart phone app and coordinate with the app vendor as required.
  • Collect visitor surveys and tally data.
  • Recruit, train, and manage docents when required.
  • Manage the rotation of exhibits on a regular basis.
  • Support Historian-in-Residence on photo exhibitions and public lectures.
  • Liaise with vendors/ contractors/ consultants for regular maintenance.
  • Familiarize with the Conservation Management Plan.
  • Familiarize with the Hong Kong Jockey Club Grant Agreement and manage compliance with Key Performance Index (KPI) related to the Heritage Grant.
  • Maintain a database on events, tours and visitors; support financial/annual reporting and records required by the Hong Kong Jockey Club Grant Agreement.
  • Engage and support the Heritage Committee in Chicago and the Heritage Advisory Committee in Hong Kong

Community Outreach

  • Outreach to the broader Hong Kong community and local Mt. Davis neighborhoods to promote public interest of the campus.
  • Explore collaborative opportunities with relevant groups and organizations to further engage the wider community.
  • Explore new communication channels and contacts for the marketing and promotion of university initiatives, programs and public lectures.
  • Participate in community events and networking activities related to arts, culture, and heritage.
  • Engage volunteers / students as docents.

University Support

  • Work closely with center/university staff on communications, websites, e-news and social media to effectively engage audience with cross promotion of activities.
  • Assist in campus tour with heritage and other university components.
  • Support university events and activities especially on community engagement, e.g. public lectures.
  • Assist in research and other projects for the on-going development of heritage and university programming.
  • Other duties as assigned.

KNOWLEDGE, SKILLS AND EXPERIENCE:  

  • Bachelor’s Degree, with 4-5 years of working experiences in project management, operations, PR/marketing and communications.
  • Working knowledge of university/academic culture preferred; knowledge or interest in heritage and conservation a plus.
  • Excellent oral and written communication skills in English; Mandarin/Cantonese is required.
  • A self-starter and a team player with strong sense of ownership and responsibility.
  • Ready to be hands-on for all projects with minimal supervision.
  • Ability to work independently in a small team.
  • Attention to details and the ability to multi-task to meet project deadlines.
  • Excellent organizational and interpersonal skills.
  • Experience on research, writing and data reporting a plus.
  • Demonstrated ability to be resourceful and creative in solving problems.
  • Ability to work with a flexible schedule according to the opening hours of HIC and tour requests, which will include weekends and possibly public holidays.
  • Must be able to work legally in Hong Kong on a permanent basis

    MEASUREMENTS OF SUCCESS:

  1. Deliver professional and engaged tours for visitors with accurate and relevant information.  
  2. Excellent interactive skills and verbal communication skills.
  3. Ensure smooth operations of HIC and tours with adequate preparation and coordination before the tours. Follow-up with visitors’ feedback and debrief with operation teams after the tours.
  4. Establish new contacts and partnership opportunity with community partners.
  5. Meet project deadlines and targets.
  6. Overall rate of efficiency, accuracy, timeliness and organization of all assigned tasks
  7. Be discreet at all times and protect the confidentiality of information.

REPORTING RELATIONSHIPS:
Reports to the Senior Director

SALARY AND BENEFITS
The salary will be competitive and commensurate with experience. In addition to salary, the University of Chicago offers an attractive benefits package including 20 days holiday per year – prorated (excluding Hong Kong Public Holidays), MPF contribution, and private medical insurance.
