Job Description

Our company is looking for a highly organized, detail driven and enthusiastic individual to provide support to the CEO and Executive Management team and their projects.

Requirements/ideal skills:

  1. A confident self-starter, comfortable working independently across multiple projects and tasks.
  2. Highly organized - able to prioritize workload, complete multiple tasks to tight deadlines and work under pressure.
  3. Self-motivated and a proactive approach to all tasks.
  4. Able to use own initiative.
  5. Perceptive, with the ability to apply judgement, common sense and find practical solutions.
  6. Polite, Strong interpersonal and relationship building skills, able to communicate well at all levels both internally and externally, in writing and by phone.
  7. Excellent IT skills and social media savvy.
  8. Energy, enthusiasm and a can do attitude.
  9. Flexible and adaptable approach, with the ability to support multiple projects.
  10. A good level of numeracy and a high degree of attention to detail will be required
  11. Preferably educated to degree level with excellent English speaking and writing skills
  12. Willing to work overtime where necessary


Responsibilities:
The below percentages will vary from time to time.

Project Manager/Coordinator (approx. 60%)

  1. Coordinating project meetings, taking minutes and proactively following up action points.
  2. Coordinating internal & external requests for technical resource with property Management Company and consultants.
  3. Providing support to the marketing and project management teams as required.
  4. Coordinating building, maintenance and building development projects
  5. Liaising with external suppliers and obtaining quotes
  6. Attending building project meetings
  7. To acts as a contact point to ensure the project runs effectively and efficiently.
  8. Other ad hoc tasks

 
Assistant to CEO (approx. 30%) - Please also note, this is not a Personal Assistant role.

  1. Communicating with senior figure heads/clients for and on behalf of the CEO.
  2. Updating internal systems and social media presence and responses for the CEO.
  3. Liaising with journalists/press for CEO’s interview requests.
  4. Maintaining database of CEO’s contacts, updating and pro-actively passing on leads.
  5. Planning travel & itineraries.
  6. Event organization and coordination (liaise with Admin. Team)
  7. Diary management and setting up meetings.
  8. Other ad hoc tasks

 
Sales and Marketing (approx. 10%)

  1. Drafting lease proposals and marketing promotion materials
  2. Liaise and negotiate with property agents / customers regarding the terms and conditions of the lease / S&P of property.
  3. Other ad hoc tasks (approx. 5%)
