Job Description

The role:  This is a good opportunity for the right individual to gain valuable experience at a newly established law firm in Central with a strong commitment to employee development. The successful candidate provides full range of secretarial support to Partner and Associate in our Commercial Disputes Department.

Essential functions and responsibilities will include 

  • Typing and formatting presentations, legal documents, court documents, emails, etc. Such work may be from hand-written copy, dictation, or edited typed work product.
  • Proofreading of all work, to include reading documents for content and context.
  • Submitting conflicts request, preparing and submitting new business intake forms for new clients and/or new matters, including the preparation of appropriate accompanying engagement letter.
  • Managing diary, arranging meetings, coordinating travel arrangements.
  • Entering time entries in the system.
  • Processing claimed business expenses.
  • Answering and fielding calls and messages.
  • Maintaining and keeping up-to-date client files at all time.
  • Maintaining accurate and up-to-date database such as name/address list, client matter numbers, and marketing database.
  • Managing Partner’s calendar with other lawyers and reminding of various meetings, appointments, court dates, and filing due dates.
  • Greeting clients and providing assistance when needed. 
  • Performing other administrative and ad-hoc duties as assigned.   

The ideal candidate will have

  • Secretarial certificate, training and solid experience (litigation experience is a must). 
  • Excellent computer skills including basic word processing, familiarity with electronic research tools, and/or basic database skills. 
  • Knowledge or familiarity of court documents and procedures.
  • Fluency in spoken and written English. Cantonese and Mandarin are advantageous. 
  • Excellent written communication skills to edit and proofread correspondence and formatting legal documents. 
  • Ability to type accurately and efficiently in English and Chinese from draft to dictation, including audio typing.
  • Ability to deal professionally and effectively with clients and colleagues on all levels.
  • Ability to organize and prioritise workload to efficiently meet all deadlines in a fast-paced environment.
  • Strong organizational skills with the ability to independently organize large amounts of documents.
  • A positive team player, highly organized, proactive and attentive to details.
