The Shipping Clerk will be responsible for supporting the shipping co-ordinator in the planning and scheduling of production and freight of adidas badminton and hockey hardware products and liaising with customer freight forwarders to ensure timely and efficient shipment of our products in the correct quantity and at the right cost.

MAJOR DUTIES AND RESPONSIBILITIES

Administration 

• Prepare shipping documents to ensure smooth freight process from supplier to customer
• Obtain, verify and prepare documentation to meet customer requirements and custom compliance requirements
• Consolidate shipments where feasible to reduce overall costs for the customer and reduce transit time
• Manage any special arrangements requested by the customer
• Handle the product sample shipment for customers and also internal team
• Collect all proof of shipping documents for audit purposes
• Check all DHL and SF bills for correct charges and recharge to the customers if necessary
• Support the head of procurement to prepare the purchase orders to the factories and update the purchase order records in the system
• Initiate the payment requisition for the factories to the accounting department
• Handle the sample inbound to and outbound from the office and maintain the inventory records
• Prepare the paperwork for all courier deliveries within the company
• Provide support for cost analysis related to the logistics within the team when necessary
• Prepare debit notes for the defective products to the factories
• Communicate to customers for balance payments before shipping goods 

Communication 

• Control freight communication to suppliers based in Asia and global customers
• Liaise between customers and suppliers on the shipment status to ensure the customer has full visibility of products being shipped
• Be the first point of contact for any freight enquires including suppliers, freight forwarder, customs and customers

 General 

• Maintain current knowledge of relevant legislation that could affect the movement of freight
• Be proactive to quickly address any shipping issues that will effect freight movement / shipping process
• Support the Shipping Coordinator to ensure all products are correctly labelled
• Carry out any further tasks for which your qualifications & experience are suited as directed by the Company

QUALIFICATION AND EDUCATION REQUIREMENTS

• Degree in production, manufacturing, logistics, supply chain management or 1 year equivalent experience

 EXPERIENCE

• Previous experience of shipping goods to multiple territories
• Experience of working with freight forwarders is essential
• Prior working experience in the consumer durables goods sector is preferable, not essential

KNOWLEDGE, SKILLS AND ABILITIES

• Skilled at organizing, planning and prioritizing work
• First class IT and communication skills
• Must speak good English and write Mandarin
• Ability to monitor, adapt and communicate according to change
• Ability to work on own initiative as part of a small and very efficient team
• Ability to work in a challenging, multi-tasking environment
• Flexibility to adapt to unplanned events
• Attention to detail / recording information to minimize costly errors is imperative
• Professionally proficient in MS Office
