Job Description

Purpose and Scope: To serve in a support role on the Accounts Payable team, responsible for managing invoice process and sampling spend management. This person will also help adjust and implement process improvement in external and internal invoice submission and processing procedure. 

Responsibilities:

  • Invoice Process Management
    • Day-to-day receipt and confirmation of submitted invoices
    • Troubleshooting any vendor questions or concerns regarding payment
    • Manual logging of submitted invoices and reconciliation for processing
    • Manage approval process, updating guidelines and cross-functional workflow process when needed
    • Provide status updates to management, escalating risks and offering improvement suggestions
  • Agent Commission Management
    • Day-to-day receipt and confirmation of submitted invoices
    • Facilitating any vendor questions or concerns regarding payment
    • Manual logging of submitted invoices and reconciliation for processing
    • Manage approval process, communicating discrepancies or errors to internal and external partners
    • Facilitate approval and payment process for all buying agent partners
  • Reporting and Metrics
    • Support the creation of recaps and reports as needed for cross-functional audiences depicting key metrics and status
    • Participate in executing analyses, as directed, in support of sourcing operations goals and analytics
  • General Management
    • Foster strong relationships with points of contact in cross-functional teams
    • Handle daily communication with internal & external cross-functional partners
    • Compile and share feedback and best practice updates for process improve

 Requirements:

  • At least High Diploma/ Associate degree in Accounting or related discipline
  • Minimum of 1-2 years of relevant work experience, preferably from the apparel industry
  • Experience in improving processes and initiatives in a self-directed manner
  • Detail-oriented, analytical and results-driven problem solver
  • Strong commitment to data accuracy
  • Excellent communication skills, including strong written English
  • Skilled in establishing, navigating and maintaining interpersonal relationships with maturity and savvy
  • Proven problem-solving abilities with fast paced deadlines and shifting priorities
  • Ability to work in a fast paced environment with ambiguity and limited oversight
  • Expert knowledge of Microsoft Excel, including Pivot Tables and Basic Macros, as well as other analytical reporting packages
