Job Description

Role Overview

The Operations Assistant acts as key support to the Asia Operations Manager providing administrative provision to enable an efficient and productive operation and in turn support the wider business strategy.

 

Job Role and Responsibilities


Operation

  • Process daily sales orders for HK market, any retail outlets, regional distributors and any marketing or education stock requirements
  • Raise and process all orders on Exchequer system
  • Communicate daily orders to warehouse and confirm delivery timings to customer or sales manager
  • Supply chain and local logistics, stock management – air/sea freight and forwarders Distributors stocks
  • Communicate and manage with warehouse for stocking arrival
  • Warehouse management (Customer and Products code)
  • Filing (Delivery notes / Retail record / PO / Orders)
  • Sales reporting – Prepare record of sales post month / event / pop up store
  • Attend to walk-in stylist orders
  • Manage staff ordering protocols and process al staff orders
  • Zalora order management included both office stock and warehouse stocks
  • Ad-hoc assignments

 

Warranty and Customer Service

  • Handle all customer service enquiries from all channel (i.e. Salons, distributors, retail outlets and consumers) through email account, by phone and in person
  • Process and track all returns and warranty replacements, including counterfeit checks for all Asia distributors.
  • Exchange products and arrange courier to ship out to Asia Market
  • Communicate with China/Sephora customer for warranty issue
  • Arrange walk in appointment

 

Distributor Operation and Logistic

  • Prepare Packing list, Commercial invoice, Booking form for each market each month
  • Communicate with warehouse for delivery timing
  • Communicate with distributor and forwarder for any requirements
  • Help to arrange Samples and Gifts to Distributors
  • Net-a-porter ( Online VEX system/Authorization code)

 

 Retail team support

  • POS management (Dynamic) include product, pricing, stock take, stock request, sales record tracking.
  • Prepare new counter open/closed, communicate with marketing and team supervisor for arrangement. Ensure all resources are ready (ex. Stationary/POS system/Printer)
  • Prepare stocktake twice a week or as need
  • Retail support as stationary, warranty return to office, customer complaint etc.
  • Monthly team meeting - food order preparation


Month End Process

  • Prepare closing for all retail channels and create invoice
  • Prepare closing all FOC accounts, included both retail and office
  • Prepare Zalora & TMG closing and create invoice
  • Request stock sales and inventory count from consignments accounts. (ex. Harvey Nichols, SG PREP, and W52)
  • Prepare closing for monthly warranty and create invoice, submit record to UK
  • Prepare month end stock take at office
  • Submit monthly inventory report to UK

 

Skills & Qualifications

  • Good level of experience in an administrator role or events planner, experience in consumer goods or retail would be helpful
  • Excellent interpersonal skills with the ability to work across multiple stakeholders to gather information and co-ordinate priorities
  • Highly organised multi-tasker who is capable of managing a number of priorities
  • Ability to work under pressure within deadlines and manage own time
  • A collaborative team player concerned with the team success as well as individual performance
  • Competent Microsoft office skills such as word, excel, outlook and PowerPoint
  • Knowledge of SAP is a plus
  • Fluency in Cantonese, Mandarin, and English required
